TELEPHONE SYSTEM USERS GUIDE

This Users Guide contains detailed functional instructions regarding the University telephones. Use the following table to "fast-path" to the subject you need information about.

FUNCTION KEYS, LAMPS AND SOFT KEYS

FUNCTION KEYS:

LAMPS:

UP/DOWN
Used to adjust LCD contrast, speaker/receiver volume,  and ringer volume.

MIC Lamp
Displays the status of the built-in microphone used for hands-free answerback.

HOLD
By using this feature, an internal or external call may be placed on Hold.

Corner Call Indicator Lamp
Flashes when a call is incoming and lights steady when a message has been left.

TRANSFER
Allows the telephone user to transfer established calls to another telephone without attendant assistance.

LCD (Liquid Crystal Diode Display)
Provides multi-line activity information plus date, time and soft key operations.

ANSWER
Allows the telephone user to answer a waiting call.

LED (Light Emitting Diode)
Some function keys have a built in LED that lights or flashes according to the activity of that function key.

SPEAKER
Controls the built-in speaker which can be used for hands-free dialing, monitoring, or answer back. The LED on the key lights when active.

Sub-line Appearances
A programmable extension key. Press the key to use the line or pick up a call on that line.

REDIAL
Allows the telephone user to scroll back through the last 5 dialed numbers. Once you locate the number to call, press the * key to dial.

On-Hook State
Telephone is not in use.

Off-Hook State
Telephone is being use.

CONF (CONFERENCE)
Used to establish up to an eight-party conversation. The LED on the key lights when active.

SOFT KEYS
Keys located just below the display.

HSET (HEADSET)
Used to activate the headset.

FEATURE
Used to access various telephone features and to program one-touch speed dial/feature keys. See details on the following pages.

MIC
Used to activate the Microphone.

Help
Used to activate the help menu.

RECALL
Used to terminate established call and re-seize internal dial tone.

Exit
Press to exit the Help program.


 

FUNCTION FEATURES

MICROPHONE ON/OFF
Controls the status of the built-in microphone.

To Change Microphone Status:

Press the soft key below MIC. This key toggles the microphone on and off.

OR

Press the FEATURE button.
Press the digit "1" on the touch-tone pad.If the microphone is on, this will turn it off. If the microphone is off, this will turn it on. The status of the microphone will be indicated by the MIC light.

ADJUST INITIAL RECEIVING VOLUME - Temporary
Enables the user to adjust the volume received through the handset.

To Display:

Press the FEATURE button.
Press the digit "2" on the touch-tone pad.
The LCD will display the current volume status.

To Adjust the Volume:

Press the FEATURE button again.
Press the digit "2" on the touch-tone pad.
LARGE equals higher volume.
SMALL equals lower volume.

Note: Once the call is terminated, if the volume was adjusted for LARGE it will revert back to SMALL, which is the normal setting.

RINGER TONE
Enables the user to select one of 4 different ringing tones available on the Dterm Series E Telephones.

To Change Ringer Status:

Press the FEATURE button.
Press the digit "3" on the touch-tone pad.
The LCD will display the current selected ringing tone. Continue to press FEATURE plus "3" to select the desired ringing tone numbered 1 through 4.

ADJUST TRANSMISSION/RECEIVING VOLUME - Permanent
This will adjust the volume heard through the handset permanently, or until the user resets the volume.

To Adjust the Volume:

Press the FEATURE button.
Press the digit "4".
The LCD displays the current volume setting.

To Change the Volume:

Press the FEATURE button.
Press the digit "4".
This allows the user to alternate between SMALL and LARGE volume.

CHANGE HANDS-FREE
Enables the user to converse without using the handset. Activates the Speakerphone.

To Activate Hands-Free Mode:

Press the FEATURE button.
Press the digit "5" on the touch-tone pad.

To Cancel Hands-Free Mode:

Press the FEATURE button:
Press the digit "6" on the touch-tone pad.

CORNER CALL INDICATOR LAMP ON/OFF
The user may elect to turn the corner call indicator lamp on or off while ringing.

To View/Change Current Status:

Press the FEATURE button.
Press the digit "7" on the touch-tone pad.The LCD displays the status of the corner lamp.

Note: The corner lamp, when set for OFF, will still light when used as a Message Waiting Lamp.


 

TO ORIGINATE AN EXTERNAL CALL

(Table of Contents)

Press SPEAKER or lift handset; receive dial tone.
Dial 9.
Dial desired telephone number.
Use SPEAKER or handset to converse.


 

TO ENTER AUTHORIZATION CODE

(Table of Contents)

Press SPEAKER or lift handset; receive dial tone.
Dial 9.
Dial desired telephone number.
If Authorization Code is required, caller will hear a special dial tone.
Enter Authorization Code. Call will now go through.
Use speaker or handset to converse.
If no authorization code is entered the call will be denied.


  TO ORIGINATE AN INTERNAL CALL

Press SPEAKER or lift handset; receive dial tone.
Dial desired telephone extension; display indicates digits dialed.
Use speaker or handset to converse.

TO PLACE A CALL ON HOLD (SOFT HOLD)

(Table of Contents)

This feature enables a telephone user to temporarily leave a call without disconnecting the caller. Any telephone having this line appearance can retrieve the call.

Press HOLD once; held line will flash.

Note: If held line appears on other multi-line telephones, the associated LED will slowly flash red on the other multi-line telephones with that sub-line appearance.

To Retrieve:

Press SPEAKER or lift handset.
Press held line; use SPEAKER or handset to converse.

Note: Any telephone with this sub-line appearance can retrieve the call.

If Unanswered:

After a preprogrammed time, automatic recall is initiated.
A visual and audible signal (rapid flashing and ring burst) will be sent to the telephone, which placed the call on hold.

Note: Hold will show as a flashing green LED on your telephone. The same line on other multi-line telephones will show as a flashing red LED. RECALL will show as a rapid flashing green LED on your telephone and a rapid flashing red on other multi-line telephones with the same line.


 

TO PLACE A CALL ON EXCLUSIVE HOLD

Exclusive Hold excludes any other multi-line telephone from picking up your held call. Exclusive Hold will show as a flashing green LED on your telephone. The same line on other multi-line telephones will appear as a solid red LED.

Press HOLD twice; line appearance indicates interrupted flash.

To Retrieve:

Press SPEAKER, or lift handset.
Press held line; use speaker or handset to converse.


TO PLACE A CALL ON EXCLUSIVE HOLD – Cont.

Note: Only the multi-line telephone that set Exclusive Hold can retrieve the call.

If Unanswered:

After a preprogrammed time, automatic recall is initiated.
Visual and audible signal (rapid flashing and ring burst) will be sent to the extension which placed the call on exclusive hold.

Note: RECALL will show as a rapid flashing green LED on your telephone and solid red on other multi-line telephones with same line.

 

CALL HOLD CONFERENCE (JOIN)

Make a trunk/station call using the first line on the Dterm.
Place the in-progress call on hold.
Place or answer a call using another line on the Dterm.
Press the TRANSFER key.
Press the JOIN key and the extension number of the held call.
Three-party conference is established.

 

TO TRANSFER A CALL

(Table of Contents)

This feature provides the ability to move a call from one extension to another.

After conversing, ask party to hold:

Press TRANSFER; receive service set tone.
Dial destination telephone's extension, hang up or wait for answer.
If transferring party hangs up, that telephone's extension number appears in the center of recipient's display.


 

CONFERENCE

(Table of Contents)

Enables any telephone user to add another party to an existing conversation, thus establishing a three-way conference.

With call in progress, ask party to hold:

Press TRANSFER; receive service set tone.
Dial desired number.
After call is answered, Press CONF; CONF LED lights.
Three-way conference is established.
If one party hangs up, other two remain connected; CONF LED goes out.

Note: A conference call may be placed on hold. Conference calls can contain up to eight parties.


 

RETAIN CONFERENCE

When one Dterm station and multiple outside parties (trunks) are connected using the 8-party conference trunk, when the Dterm user presses the C-KEEP (CONFERENCE KEEP) key and hangs up, the conference by the outside parties can be continued.


 

TO ESTABLISH A CONSULTATION HOLD

(Table of Contents)

This feature enables the telephone user to consult with a third party while on another call.

While engaged in a call and wishing to consult a third party:

Press TRANSFER, caller is automatically placed on hold.
Dial desired party to consult.
Re-Press TRANSFER to return to original caller. Third caller is automatically placed on hold.
By repeating these steps, it is possible to alternate between calls.

Note: The display will indicate connected call at any given time.


 

TO ANSWER A CAMPED-ON CALL

While engaged in a call, receive camp-on indication (one short tone bursts):

Press ANSWER; call in progress is placed on hold.
Connection to parked call is established.
Re-Press ANSWER to return to original call, parked call is placed on hold.
By repeating these steps, it is possible to alternate between calls; display will indicate connected call at any given time.


 

CALL PARK

This feature enables the telephone user to park a call that can then be retrieved from another extension.

To Program Call Park Key (on one-touch speed calling key):

Press FEATURE
Press desired one-touch speed key.
Press RECALL. A ! appears on the LCD
Dial Call Park access code.
Press FEATURE

To Park A Call:

When on a call Press TRANSFER, and dial the Call Park access code or press Call Park.

To Retrieve a Parked Call From Originating Telephone:

Dial the Call Park local retrieval code.
Parked call is connected to the extension where the call was parked.

To Retrieve a Parked Call From A Remote Station:

Dial the Call Park remote retrieval code and the number of the telephone that parked the call.
Remotely parked call is connected to the extension where the code was dialed.

 

CALL PICK-UP (GROUP)

By dialing the Pick-Up Code or pressing the Pick-Up key, this feature permits any member of a Pick-Up Group to answer calls directed to another extension within the Group.

Extension Within Pick-up Group Rings:

Lift handset.
Press Call Pick-Up feature key or dial call pickup access code. (Also, may be stored on One-Touch Speed Calling Key).
Connection to calling party is established.
If currently on a call, Press TRANSFER and dial pickup access code. The original party will be placed on HOLD and any sub-line can be used.

Note: A call may be picked up from any sub-line appearance.


 

CALL PICK-UP (DIRECT)

By dialing the Pick-Up Code or pressing the Pick-Up key, this feature permits anyone to answer calls directed to another extension.

To Program Call Pick-Up Direct Key (on one-touch speed calling key):

Press FEATURE
Press desired one-touch speed key.
Dial Call Pick-up access code.
Press FEATURE

Extension Within The System Rings:

Lift handset.
Press Call Pick-Up Direct feature key or dial the extension number to be picked up OR Dial Direct Call Pick-Up Direct feature access code and the extension number to be picked up.
Connection to calling party is established.
If currently on a call, the original party must be placed on hold before new call can be picked up.

Note: A call may be picked up from any sub-line appearance.

 

LAST NUMBER REDIAL

(Table of Contents)

The system will automatically redial the last number dialed from that extension. Display phones hold the last 5 numbers in memory.

To Redial the Last Telephone Number Dialed:

Press LNR/SPD and (*) key; outside number or internal extension is automatically redialed.
When party has answered, converse, or lift handset.

FEATURE Access Code: #3 will call the last number dialed - does not allow you to scroll through the last five numbers to select the one you wish to redial.

 

CALL FORWARDING - ALL CALLS (EXTERNAL)

All calls destined for a particular extension will be routed to another extension.

To Set:

Press SPEAKER; receive dial tone. If setting for another extension, Press Sub-line Appearance to be forwarded.
Press Fwd or dial call forward access code; receive special dial tone.
Dial destination extension number; receive service set tone.
Fwd LED lights (at your telephone or the sub-line of a multi-line telephone for which call is being set).
Press SPEAKER; Call Forward - All Calls is set.

To Verify (With A Display Telephone):

If verifying for another extension, Press Sub-line Appearance while idle.<
Press Fwd.
Display indicates the telephone number calls are forwarded to.

Note: Recipient of "Call Forwarded-All Calls" will see the following display (If using a display telephone)

To Cancel:

Press SPEAKER; receive dial tone, if canceling for another extension, press Sub-line Appearance<
Press Fwd or dial call forward access code; receive service set tone; LED goes out at your telephone or the sub-line of a multi-line telephone (if canceling for another).
Press SPEAKER, Call Forward-All Calls is cancelled.


 

TOGGLE: CALL FORWARD – ALL CALLS (INTERNAL)

Press SPEAKER; receive dial tone. If setting for another extension, press Sub-line Appearance to be forwarded.
Press Toggle button.
Press Fwd, receive special dial tone.
Dial destination telephone; receive service set tone.
Fwd LED lights (at your telephone or the sub-line of a multi-line telephone for which call is being set).
Press SPEAKER; Call Forward –Internal has been set.


 

TO SAVE AND REPEAT A NUMBER

To Save:

Press SPEAKER.
Dial desired telephone number.
Press S&R; dialed telephone number is now stored.
S&R LED lights OR n Receive internal call.
Press S&R; extension number is stored in memory.
S&R LED lights.

To Verify (For a Multi-line Telephone With Display):

While idle, press S&R.
Display indicates digits stored.

To Repeat: n press SPEAKER.
Press S&R; the telephone will automatically redial the programmed number.
S&R automatically cancelled; LED goes out.

Note: If Save and Repeat number is busy or no answer is received, to save it again, press S&R before hanging up.


 

INDIVIDUAL SPEED CALLING

This feature allows a telephone user to establish their own speed dial list.

To Set:

Press SPEAKER.
Press SPEAKER; dial Speed Calling Access Code [##3] plus the one or two digit code. (You need to keep track of your codes).

Dial [9] plus the telephone number. A brief pause will occur before you receive interrupted dial tone.

To Use:

Press REDIAL
Dial the one or two digit code for the number you are calling.
Call is complete.

 

MANAGER/ADMINISTRATIVE ASSISTANT TRANSFER

This feature automatically establishes a "Voice" call from a telephone user to the Manager.

ADMINISTRATIVE ASSISTANT:

Lift handset.
Press Manager's ringing line; after conversing ask calling party to hold.
Press Manager's line again, Voice Call is automatically established and caller is placed on hold.
Announce the call to the Manager.

If call is accepted:

ADMINISTRATIVE ASSISTANT:

Replace handset.

MANAGER:

Lift handset.
Press held line.

IF CALL IS DENIED:

ADMINISTRATIVE ASSISTANT:

Press Manager's line to return to calling party.

 

DO NOT DISTURB

While Idle (On Hook):

Press DND. LED lights.

To Cancel:

Press DND. LED light goes out


 

DIAL INTERCOM 

(Table of Contents)

To Initiate:

Press SPEAKER or lift handset.
Press DICM.
Receive ringback tone.

To Answer:

DICM LED flashes, and rings to indicate an incoming call.
Press DICM.
Press SPEAKER or lift handset.
If called extension is engaged in a non-intercom call, the extension may Press DICM after placing the original call on hold (with HOLD key).

 

AUTOMATIC INTERCOM

To Initiate:

Press SPEAKER or lift handset.
Press AICM.
Receive ringback tone.

To Answer:

AICM LED flashes, and rings to indicate an incoming call.
Press AICM.
Press SPEAKER or lift handset.
If called extension is engaged in a non-intercom call,
the extension may Press AICM after placing the original call on hold (with HOLD key).


 

TO ORIGINATE A CALL USING SPEED DIALING (ONE- TOUCH BUTTONS)

Press SPEAKER or lift handset
Press desired SPEED DIAL button.

TO PROGRAM:

Press FEATURE key.
Press desired SPEED DIAL button.
Enter the desired telephone number or feature code on the key pad. Display indicates digits dialed.
Press FEATURE key again to save the number. * Available only on Dterm's with speed calling keys.

TO VERIFY:

Press FEATURE key.
Press desired SPEED DIAL button.
Display indicates digits dialed.

TO ORIGINATE A CALL:

Press SPEAKER or lift handset
Press desired SPEED DIAL button.

Notes: To program a hookswitch for transfer or feature activation, press RECALL key as first digit. ("!" will be displayed on LED.)

• To program a pause, press RECALL key as any digit other than the first digit. ("-" will be displayed on LED).
