UR COEUS


What is UR-COEUS ?

UR-COEUS is a database system that contains proposal and award information for sponsored programs at the University of Rochester (UR). The Office of Research and Project Administration (ORPA) originally licensed "COEUS" (a grant management application) from the Massachusetts Institute of Technology (MIT) in 1997. COEUS (named after the Greek Titan of Intelligence) has been customized to the University’s requirements and culture to become "UR-COEUS".

UR-COEUS stores and manages high-level proposal data and very detailed information on awards. The database contains a complete history of every change made to an award from the notice of award through close-out. As examples of its versatility, UR-COEUS stores all agency contacts in an electronic rolodex, maintains all reporting requirements (financial, technical, property, patents) and maintains the terms and conditions as well as the required approvals for an award. University departments are able to access proposal and funding information, ascertain what "rules" apply to a particular award and know who the critical contacts are at a selected funding agency.

University Modifications and Enhancements

As with any new information system, there was a start up period where the application software was analyzed, modified, and tested. UR-COEUS was modified to capture information reflective of the business needs of our institution. These modifications resulted in UR-specific screens and database fields being added to the application. For example, the ability to track direct and indirect costs, as well as committed support was added to the system. Additional effort was devoted to migrating data from our previous database into the UR-COEUS application. The data migration was successfully completed in December 1997 and as a result, UR-COEUS contains sponsored programs information dating back to July 1990. UR-COEUS information can be accessed at desktops University wide through a separate report producing application developed by the University of Rochester called "UR-COEUS Reporting".

What is UR-COEUS Reporting?

The University of Rochester realized early on in the implementation of UR-COEUS that the database application, with its numerous screens of data and limited reporting capabilities, may not be the best vehicle for all users when it comes to querying sponsored programs activity. In response, a simple and easy-to-use reporting tool called UR-COEUS Reporting was developed and introduced to the university community in early 1998. Our objective for UR-COEUS Reporting is to provide useful proposal and award information to all divisions of the University.

UR-COEUS Reporting is a real time, client/server application that accesses an Oracle database. Each of the 19 preformatted proposal and award reports include a criteria selection screen that offers the user the flexibility to tailor report information to suit their needs. Users can generate printed reports or the report information can be saved into another data format like Excel for further manipulation.

The latest version of UR Coeus Reporting (v2.05) offers additional reports with new search criteria selection screens and a Rolodex that contains agency and sponsor contacts. The reporting tool is available 24 hours a day and now offers an online help file with instructions on how to get the most out of the reporting application .
