Considering hiring a student?

Hiring students using HRMS Form 506/520 for graduate student/postdoctoral appointments This form is used exclusively for hiring graduate students who receive a stipend and to coordinate information between the Bursar's Office, the hiring department, Payroll, and the Human Resources Service Center. Form 506/520 should not be used to hire graduate students receiving an hourly rate or to hire students from other schools. Hiring students through Student Employment This option should be used for all full-time, matriculated University students not hired using a 506/520 form. Keep in mind, May 28 is the last day graduating students may remain on Student Employment payroll. Departments can contact the Student Employment Office at x5-2138 to post a position or visit their Web site at www.rochester.edu/careercenter. Hiring students through Human Resources Use this option for students who cannot be hired through Student Employment or by using form 506/520. This includes part-time students, nonmatriculated University students, University students who have graduated and will continue to work past May 28, and students from other schools, including co-ops and interns. These students must be hired through Human Resources using the same process as other staff positions, such as HRMS Form 600/Staff Requisition or Strong Staffing. Form 600 allows departments to hire students on a time-as-reported (with an end date) basis. Send the completed form to the appropriate human resources liaison at the Service Center, Towne House, Suite 202, and indicate that a strong external candidate has been identified. For departments in division 04, 05, and 08, a signed/approved Freeze Exemption Request Form is also required. The applicable time-as-reported benefit rate will be charged to the department. Students also may be hired for up to six months through Strong Staffing, the University's in-house temporary services department, by calling x5-7873. Departments in division 04, 05, and 08 also will need to submit a signed/approved Freeze Exemption Request Form. The applicable rates will be charged to the hiring department. When requesting that a student be hired by Strong Staffing, allow enough time to met pre-employment requirements to avoid an interruption in pay. Positions involving direct face-to-face contact with patients require that students attend orientation and pass a physical exam and drug screening. Strong Staffing will coordinate and schedule these appointments. Strong Staffing also will schedule summer hires for a mandatory payroll orientation. These orientations are conducted weekly, and students must bring ID that satisfies the I-9 requirement, such as a driver's license and Social Security card.
