For example: you may need changes to the organizational structure\/reports to structure in Workday, such as moving employees to the correct supervisory organization.<\/p>\n<p><strong>If you have employees who appear in the incorrect supervisory organization in Workday<\/strong>, please submit a ticket through the <a href=\"https:\/\/service.rochester.edu\/servicedesk\/customer\/portal\/221\" data-outlook-id=\"d1e592af-d400-4c83-b07e-c0eec0c6dfbb\">HR Service Desk<\/a> and the support team will make these updates for you.<\/p>\n<p>To ensure the support team can process your request as efficiently as possible, <strong>please include the following information:<\/strong><\/p>\n<ul>\n<li>Employee name (who needs to be adjusted)<\/li>\n<li>Employee\u2019s <strong>current <\/strong>supervisory organization (which appears incorrect)<\/li>\n<li>Employee\u2019s <strong>actual<\/strong> supervisor organization (where employee needs to be moved to)<\/li>\n<li>Effective date<\/li>\n<\/ul>\n<p>Additionally, those with the appropriate security access can initiate the <a href=\"https:\/\/tech.rochester.edu\/wp-content\/uploads\/Change-Job-WD-14.pdf\" data-outlook-id=\"e14bd25a-6425-43a1-a780-4dafe149334b\">Change Job<\/a> process to complete this move themselves as Change Job will become the standard as we all get more acquainted with Workday.<\/p>\n<p><strong>For <u>any<\/u> ticket that you submit to the <\/strong><a href=\"https:\/\/service.rochester.edu\/servicedesk\/customer\/portal\/221\" data-outlook-id=\"269836b9-dc8f-4bc8-92d0-1a3db2765d69\"><strong>help desk<\/strong><\/a><strong>, please be sure to include as much detailed information as possible. This will help the support team complete your request more efficiently.<\/strong><\/p>\n<p><strong>myURHR existing reports<\/strong><br \/>\nIf you require changes to existing reports in Workday and\/or UKG to better fit your needs, please submit a ticket through the <a href=\"https:\/\/service.rochester.edu\/servicedesk\/customer\/portal\/221\" data-outlook-id=\"bc2d85bc-9c15-4f35-81d6-22ea9fae3ad2\">HR Service Desk portal<\/a>.<u><br \/>\n<\/u>A reporting crosswalk for managers, coordinators, and timekeepers will be available in the next myURHR News Roundup.<\/p>\n<h2>UKG<strong><br \/>\n<\/strong><\/h2>\n<p><strong>Popular Quick Reference Cards (QRCs):<\/strong><br \/>\n<a href=\"https:\/\/tech.rochester.edu\/wp-content\/uploads\/Request-Time-Off.pdf\" data-outlook-id=\"f3f226c0-4ab0-479f-bee5-55178936b62b\">Requesting time off<\/a>; <a href=\"https:\/\/tech.rochester.edu\/wp-content\/uploads\/Respond-to-Time-Off-Requests-from-a-Dataview.pdf\" data-outlook-id=\"67ead0b2-25df-40a0-bdcc-7dcf2cf3d9e2\">Responding to time off requests from a dataview<\/a>; <a href=\"https:\/\/tech.rochester.edu\/wp-content\/uploads\/Correct-Missed-Punch-employee.pdf\" data-outlook-id=\"2310c60f-bcb2-4794-a845-0d7287794f2c\">Correct a missed punch<\/a><\/p>\n<p><strong>For awareness: Time off requests submitted prior to today<\/strong><\/p>\n<p>Timekeepers are not able to approve time off requests that were submitted <strong>prior to today <\/strong>in UKG. This issue has since been fixed. For requests submitted prior to today, the manager can respond or you can ask the employee to cancel the request and resubmit it, so either the timekeeper or manager can respond.<strong>\u00a0<\/strong><\/p>\n<p><strong>Inform staff: Time off request comments<\/strong><\/p>\n<p>Staff have the ability to add a comment when submitting a time off request in UKG by choosing \u201cEmployee Comment\u201d from a drop-down menu.<\/p>\n<p><strong>Please inform staff to disregard the \u201cIntegration- Timecard Change Requests Rejection\u201d option. It is for system processing.<\/strong><\/p>\n<p><img decoding=\"async\" class=\"size-full wp-image-179142 aligncenter\" src=\"https:\/\/www.rochester.edu\/human-resources\/wp-content\/uploads\/2024\/12\/UKG-Comment.jpg\" alt=\"UKG request time off menu \" width=\"449\" height=\"398\" srcset=\"https:\/\/www.rochester.edu\/human-resources\/wp-content\/uploads\/2024\/12\/UKG-Comment.jpg 449w, https:\/\/www.rochester.edu\/human-resources\/wp-content\/uploads\/2024\/12\/UKG-Comment-406x360.jpg 406w\" sizes=\"(max-width: 449px) 100vw, 449px\" \/><\/p>\n<p><strong>Your questions answered: Employee sign-off<\/strong><\/p>\n<p>The myURHR project team has been receiving questions regarding employee sign-off or ESO in UKG.<\/p>\n<p>It is up to individual departments if they want monthly-paid staff to enter ESO in the UKG timecard. ESO is one of the pay code drop-down choices.<strong>\u00a0<\/strong><\/p>\n<p><strong>Training reminder: Hyperfinds<\/strong><\/p>\n<p>If you need to find specific data, such as a list of your team members, in UKG\u2014hyperfind it!<br \/>\nHyperfinds allow you to create custom searches that filter and group data based on specific criteria, making it easier for you to access the information when you need it. You can use <a href=\"https:\/\/tech.rochester.edu\/wp-content\/uploads\/Create-Personal-Hyperfinds-Managers-Timekeepers.pdf\" data-outlook-id=\"d2e016d2-0b1f-4acc-acd6-d43be027f040\">existing hyperfinds or create your own<\/a>.\u00a0 As a reminder, timekeepers now have access to everyone in a department family, so the hyperfinds are a particularly useful tool for filtering in UKG to only those they may be directly responsible for.<\/p>\n<p><strong>Important for timekeepers: Ask Mel your timekeeping questions<\/strong><br \/>\nThe first payroll approvals in UKG will occur on Monday, December 30 by 3 pm for bi-weekly paid staff. Ask Mel\u2014your timekeeping questions ahead of the first approval in UKG. If you have not done so already, please ensure you have VPN installed on your computer to access Mel when off the University network, so you can ask Mel questions or complete timekeeping tasks in UKG while you are offsite.<\/p>\n<p><strong>Share with your team(s): Viewing vacation balances in UKG<\/strong><br \/>\nUKG currently contains an <u>estimate<\/u> of an employee\u2019s accrual balances (e.g. vacation, PTO, sick, etc.) as of the pay period prior to go-live. <u>Actual<\/u> accrual balances will not be available until December 31, 2024, and at that time, you can use the <a href=\"https:\/\/tech.rochester.edu\/wp-content\/uploads\/View-Accrual-Balances-Employees.pdf\" data-outlook-id=\"e49182e8-ecb0-4592-b112-a2a023e3f215\">view accrual balances QRC <\/a>for help understanding your accrual balance in UKG.<\/p>\n<h2>Workday<\/h2>\n<p><strong>Benefits elections: <\/strong><br \/>\nAll 2024 Benefits elections made prior to 12\/5\/2024 are viewable in HRMS and all payroll deductions for 2024 Benefit premiums will be taken from HRMS paychecks.<br \/>\nmyURHR contains 2025 Benefit elections and the associated premium costs. To view your 2025 Benefits elections before 1\/1\/25, go to your Benefits and Pay Hub and under Benefits Elections, click on Future Benefit Elections and Costs.<br \/>\nPlease note that existing Benefit elections made in HRMS prior to myURHR may display a historical Coverage Begin Date that aligns with the most recent change in HRMS. The current costs for Benefit elections will show as $0 until 1\/1\/25.<\/p>\n<p>Click on the blue arrow to view future 2025 benefit elections and costs.<\/p>\n<p><img decoding=\"async\" class=\"size-full wp-image-179152 aligncenter\" src=\"https:\/\/www.rochester.edu\/human-resources\/wp-content\/uploads\/2024\/12\/Benefit-Elections.png\" alt=\"Workday benefits election menu\" width=\"411\" height=\"361\" srcset=\"https:\/\/www.rochester.edu\/human-resources\/wp-content\/uploads\/2024\/12\/Benefit-Elections.png 411w, https:\/\/www.rochester.edu\/human-resources\/wp-content\/uploads\/2024\/12\/Benefit-Elections-406x357.png 406w\" sizes=\"(max-width: 411px) 100vw, 411px\" \/><\/p>\n<h2>Reminder: Transaction deadlines<strong><br \/>\n<\/strong><\/h2>\n<p>New deadlines for submissions to HR Data Services will be based on <strong>effective dates<\/strong>.<\/p>\n<p>This means in myURHR Workday that personnel transactions submitted <u>after<\/u> their effective date are considered late, historical transactions. <strong>The 2025 HCM Transaction Deadline Calendar is located on the UR Coordinator Dashboard under Calendars.<\/strong><\/p>\n<p>Previously, transactions needed to be approved in HRMS before the payroll deadlines.<\/p>\n<h2>Happening this week<\/h2>\n<ul>\n<li><strong>Hourly staff:<\/strong> Begin entering time worked via the time clock, UKG punch tile, or directly into the time card. Staff edits made directly in the timecard must be reviewed by managers\/timekeepers and approved before the edits are posted. Pending changes are denoted with a red icon.<br \/>\nAdditionally, hourly staff can begin submitting time off requests in UKG.<\/li>\n<li><strong>Semi-monthly and monthly-paid staff:<\/strong> Can begin submitting time off requests in UKG for dates <u>after<\/u> December 31.
