{"id":126,"date":"2018-04-18T18:46:02","date_gmt":"2018-04-18T18:46:02","guid":{"rendered":"http:\/\/www.wdev.rochester.edu\/research-admin\/?page_id=126"},"modified":"2025-10-29T17:18:40","modified_gmt":"2025-10-29T17:18:40","slug":"faqs","status":"publish","type":"page","link":"https:\/\/www.rochester.edu\/iora-project\/grants\/faqs\/","title":{"rendered":"IORA FAQs"},"content":{"rendered":"<h4><span style=\"color: #003366;\"><strong>What is happening and why?<\/strong><\/span><\/h4>\n<p>The University of Rochester is one of the country\u2019s top-tier research universities, submitting close to <strong>1,700 grant applications and receiving over $410 million in grant funding in fiscal year 2019<\/strong>. This important work is currently accomplished using various systems and time-consuming manual processes, which can cause backlogs, difficulty tracking and reporting and at times can hinder critical research from moving forward as quickly as it could.<\/p>\n<p>As part of the University&#8217;s Research Systems Modernization Plan, we are implementing an electronic grants management system. This solution will replace the current grants database, UR-Coeus. This transformative project will streamline and automate many of our processes, allow for\u00a0transparency and consistency in budgeting and reporting, and is critical for future UR\u00a0research and growth opportunities.<\/p>\n<p>The new system, Huron Grants, is part of the Huron Research Suite, a comprehensive suite of software solutions capable of managing various research functions. The university\u2019s Institutional Review Board (IRB) system has already transitioned to the Huron Research Suite and other areas will soon follow.<\/p>\n<h4><span style=\"color: #003366;\"><strong>What is the University&#8217;s Research Administration Modernization plan?<\/strong><\/span><\/h4>\n<p>Several years ago, an extensive assessment was completed on the University&#8217;s research systems to develop a roadmap for future investments and improvements in alignment with institutional goals and priorities. As part of that assessment, the following themes and observations were identified:<\/p>\n<ul>\n<li>Widespread manual entry and, at times, duplication of effort within research systems to capture, verify, and accurately report on data.<\/li>\n<li>Multiple systems and processes are used across the university to accomplish similar functions, resulting in a lack of consistency across departments and colleges.<\/li>\n<li>Many research systems do not adequately mirror business processes or contain needed functionality, which is currently mitigated by use of paper forms and routing..<\/li>\n<li>IT support for many research systems is spread thin or \u2018single-threaded,\u2019 creating\u00a0risk in continuing operations and future UR growth.<\/li>\n<\/ul>\n<p>The universities various research systems were prioritized for modernization including Grants\/Awards, Clinical Trials, IRB, and more. IRB is now utilizing the Huron system, OnCore is in the process of being implemented for Clinical Trials, and Grants will be managed using Huron Grants. Additional research areas, such as Animal Research, Bio-Safety and others, will be integrated in the Huron Research Suite in the future.<\/p>\n<p><em>High-level view of systems modernization plan for Research Administration (Note: Clinical Trials will be managed via the <a href=\"https:\/\/sites.mc.rochester.edu\/urmc-clinical-research\/embark\/\" target=\"_blank\" rel=\"noopener noreferrer\">OnCore clinical trial management system<\/a>):<\/em><\/p>\n<img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-1026\" src=\"https:\/\/www.rochester.edu\/iora-project\/wp-content\/uploads\/2019\/08\/ResearchModernization.jpg\" alt=\"\" width=\"639\" height=\"505\" \/>\n<h4><span style=\"color: #003366;\"><strong>What are the capabilities of the Huron Grants system?<\/strong><\/span><\/h4>\n<p>The system workflow provides electronic routing for internal review, notifications and error checking, helping ensure transparency and first-time successful submissions to grants.gov. Post-award management capabilities include award set up, modification entry, workflow routing reviews and approval capabilities, and budget reconciliation to enter and track sponsor-approved budgets.<\/p>\n<h4><span style=\"color: #003366;\"><strong>What benefits will we gain with the new system?<\/strong><\/span><\/h4>\n<ul>\n<li>Streamlined and less error prone data entry<\/li>\n<li>More accurate on-time submissions<\/li>\n<li>Standardized budget preparation and review while complying with institutional and sponsor budget requirements<\/li>\n<li>Automated proposal creation by re-purposing large amounts of proposal data and budget data to create new submissions<\/li>\n<li>Automated and streamlined preparation and submission for multi-project applications<\/li>\n<li>Automated SF 424 submissions across NIH, NSF, DoD and more<\/li>\n<li>Simplified award entry through awarded-proposal processes, leveraging proposal data for new award<\/li>\n<li>One source for entering and tracking data from award set-up to closeout<\/li>\n<li>Expedited award setup and improved financial accuracy<\/li>\n<li>Consistent processes and timely reminders to researchers and staff for pending work items providing transparency into workflow statuses throughout the process<\/li>\n<li>Standardized management of sub-recipients<\/li>\n<li>Robust reporting capabilities<\/li>\n<\/ul>\n<h4><span style=\"color: #003366;\"><strong>How was the Huron solution chosen?<\/strong><\/span><\/h4>\n<p>Choosing the Huron Grants system was a collaborative effort among research departments, administrators and IT. A cross-section of 110 individuals were invited to participate in vendor demonstrations with specific scenarios.<\/p>\n<p>All participants were asked to complete a survey after the demonstrations to assess the product and vendor based on the features and scalability of the product, the company&#8217;s viability, feedback from other institutions, research business and process aptitude, integration ability, cost and more. Ultimately, the team chose the Huron Research Suite, a comprehensive suite of software solutions capable of managing various research functions.<\/p>\n<h4><span style=\"color: #003366;\"><strong>How will this impact me?<\/strong><\/span><\/h4>\n<p>Anyone involved in submitting grant proposals and award tracking will need to stop using their current processes and begin using the new Grants management system, currently scheduled for July 2020.<\/p>\n<ul>\n<li><strong>Principal Investigators<\/strong>: add more detail<\/li>\n<li><strong>Department Administrators<\/strong>: add more detail<\/li>\n<li><strong>Department Chairs<\/strong>:<\/li>\n<li><strong>ORPA Staff<\/strong>: add more detail<\/li>\n<li><strong>ORACS<\/strong> Staff:<\/li>\n<\/ul>\n<p>Prior to go-live, the teams are looking forward to collaborating with all impacted groups to fully understand current processes and pain points, streamline business processes where possible, help break down any barriers, enable two-way communications and provide hands-on training. The training schedule will be posted and shared as plans are developed. The implementation of the Huron Grants system is planned for July of 2020.
