Principal Investigator Projects Summary Dashboard
Purpose

Please note: The dashboard will only display projects for which the current user is assigned as a Principal or Co-Principal Investigator role in the IORA system. 

This portal provides Principal Investigators with a centralized, personalized view of their sponsored research portfolio—bringing together project timelines, funding, expenditures, personnel, and proposal activity to support proactive planning, effective financial management, and informed decision-making.

The Dashboard displays 5 tabs:

  1. Principal Investigator Projects Summary – Key timelines and  total award budgets
  2. Project Spending Trends – Expenditures to date and projected forecasts
  3. Project Finance (FAO) Summary – Award funding and associated account (FAO) details
  4. Project Expenditures by Spend Category– Spending by category (e.g., salaries, travel, supplies, etc.)
  5. Principal Investigator Proposals Summary – Summary of awarded and pending proposals.
Description

Detailed information available on each tab:

  • Principal Investigator Projects Summary – Displays key award details, timelines, and budget utilization metrics for selected sponsored projects, enabling analysis of project progress, funding balance, and spending trends for a principal investigator (PI)
    • This tab can be filtered by Project Title, Project End Date, Awarded Total, Authorized Total, Expenditures Total, Authorized Balance, Current Budget Period Authorized Total, Current Budget Period Expenditures, or Current Budget Period Balance.
    • Additionally, you can filter information by Project Title or Sponsor Number (under Settings and Filters on the right-side navigation).
    • It will show:
      • Timeline for filtered project(s); project period and award length 
      • Total budget summary; total dollars awarded over the life of the project, authorized total for the approved budget periods, expenditures total, authorized balance  
      • Current budget period summary; authorized total, expenditures, balance 
      • Total expenditures over time and current budget period expenditures over time compared to award amount and project elapsed time 

  • Select a project on under the Sponsored Project Timeline to view Project Spending Trends (on the second tab) for that specific project. Project Spending Trends - For a selected project, displays cumulative project authorized amounts and expenditures as well as a forecast of expenditures for future budget periods 
    • This tab can be filtered by Project, and/or Sponsor Number from the Projects Summary Page. Or you can filter by Award Number (under Settings and Filters on the right side navigation).
    • It will show:
      • Cumulative spending trend by budget period
      • Cumulative award amount authorized to spend by budget period
      • Sum of total expenditures through the fiscal quarter for the award 
      • Total award amount authorized to spend and anticipated to spend through the budget period by Sponsor 
      • Forecasted sum of total expenditures through the fiscal quarter for the award.  This amount includes total expenditures, and a yearly forecasted expenditure amount based on the average of the quarterly expenditures in the most recent year.  This yearly forecasted expenditure amount can be adjusted to a percentage of the previous year's average expenditures (100%, 80%, 50%, 25%) using the Forecasted Expenditures Parameter. 

  • Project Finance Summary - ​For a selected project, authorized award amounts and expenditures by account/FAO and budget period including a forecast of future expenditures for future budget periods 
    • This tab can be filtered by Project, and/or Sponsor Number from the Projects Summary Page 
    • It will show:
      • Account budget trend shows comparison of authorized amounts and expenditures by FAO by budget period 
      • For future budget periods, anticipated amounts for each FAO and forecasted expenditures based on previous year’s average quarterly spend 
      • For each account there is a breakdown by budget period of anticipated total award amounts, authorized total award amounts, expenditures, cumulative authorized amounts and expenditures and the account balance  
      • This yearly forecasted expenditure amount can be adjusted to a percentage of the previous year's average expenditures (100%, 80%, 50%, 25%) using the Forecasted Expenditures Parameter. 

  • Project Expenditures by Spend Category - Monthly/Quarterly/YTD account expenditures by spend category along with a summary of account transactions for spend categories
    • This tab can be filtered by Project, and/or Sponsor Number from projects page.  One or more spend categories can be selected as a filter. 
    • It will show:
      • For the selected calendar month, a breakdown of expenditures by categories (salaries, travel, supplies, etc.) and balances for a given time period (Month, YOY, Quarter, YTD) 
      • An account transaction summary of UR financial transactions for selected spend categories for the selected calendar month 

  • Principal Investigator Proposals Summary
    • This tab can be filtered by Proposed Project Title, Proposal Number, and/or Proposal Status
    • It will show:
      • The status of selected proposed projects based on filtered choices
      • Details for a specific proposed project; dates, purpose, sponsor name
      • Summary of selected proposed projects; status, start date, end date, proposed total, proposed indirect and direct totals.

Additional Definitions:

These additional definitions are context specific to this work. 

  • Total Dollars Awarded/Committed - The total amount of money the sponsor has agreed to provide for the project, either all at once or over multiple years. This represents the full financial commitment for the study, even if the funds are released in phases.
  • Authorized Award - The portion of the total award that the institution is currently allowed to spend. Sponsors often release funds in stages (for example, one year at a time), and only the authorized amount can be used right now.
  • FAO (Financial Activity Object) The unique financial account number used by the University of Rochester to track a specific award or project. All expenses, payroll, and financial activity for the project are charged to this FAO (often referred to as the GR number).
  • IORA (Integrated Online Research Administration) The University’s comprehensive suite of web based software solutions capable of managing various research functions, from proposal development, review, routing and approval through award administration and closeout.
  • Principal Investigator - The lead researcher responsible for the overall design, conduct, and oversight of a sponsored project. The PI is accountable for the scientific direction of the work, compliance with sponsor and University requirements, and appropriate use of project funds.
  • Co-Principal Investigator - A senior researcher who shares leadership and responsibility for a sponsored project with the Principal Investigator. The Co-PI contributes substantially to the project’s scientific direction and execution and may oversee specific aims, teams, or components of the work. Responsibility for the project is shared, although one PI is typically designated as the contact PI for the sponsor.
  • Sponsor Number - A unique identifier assigned by the funding sponsor to a specific award or agreement. This number is used by the sponsor to track the project and is often referenced in official communications, invoices, and reporting.
