EXECUTIVE DIRECTOR

Description

The Executive Director ensures the continuous operation of all facets of the organization both at the Executive Board and Hall Council level. They act as a voice for the organization and its residents through continued contact with key administrators throughout campus. Lastly, they work to effectively promote and protect the image of the organization both on and off campus.

Responsibilities

General:

  • Coordinate the advisement of the Hall Council with the Advisor, Executive Board, Hall Ambassadors, and Leadership Program Staff
  • Be responsible for additional duties as specified by the organization’s advisor or Leadership Program Staff

Organization:

  • Maintain ultimate responsibility for the operation of the organization
  • Maintain contact with key administrators vital to the interests of the residents
  • Represent the residents at any committee on which the organization maintains a voting or nonvoting seat, either personally or through appointment
  • Protect and promote the image of the organization
  • Seeks feedback from residents and Executive Board and advocates those needs and wants to key administrators on how to improve the living conditions of the Hall
  • Complete an annual report along with the executive board team prior to the end of April

Executive Board:

  • Preside over the Executive Board
  • Responsible for preparing a basic agenda and facilitating weekly Executive Board Meeting

Committees:

  • Establish Committee Chairs and other positions as provided for in this Constitution and the By-Laws

DIRECTOR OF COUNCIL RELATIONS

Description

The Director of Council Relations serves directly as the overseer the organization's affairs and assessment. They must have the capacity to see how past and present decisions will impact the goals and overall effectiveness of the organization's future. Lastly, they will work closely with the Director of Marketing to bring oversight to the organization’s website.

Responsibilities

General:

  • Works to ensure the organization is prepared, recorded, and continuously improving
  • Be responsible for additional duties as specified by the Executive Director or Board

Organization:

  • Enforce organizational policies and procedures where applicable
  • Keep accurate records of all organizational business
  • Provide meeting minutes to Executive Board and Advisor within twenty-four hours and maintain organization’s digital folder
  • Serve as the “Historian”
  • Serve as the “Quality Control” manager
  • Take ownership of the organizational website (ex. CCC)
  • Act as Executive Director in the event of the Executive Director's absence
  • Temporarily assume the Office of the Executive Director should the Office be vacant

Executive Board:

  • Record the minutes of each meeting
  • Responsible for the orderly filing and maintenance of meeting agendas and minutes
  • Attend Weekly Executive Board meetings, arriving on-time

Committees:

  • Serve as an advisor to each of the standing and ad-hoc Committees assigned to the Director of Council Relations that the organization establishes (ex. You Ever Better Recognize Committee)

DIRECTOR OF FINANCE

Description

The Director of Finance ensures the organization develops an annual budget of expenditures and income, as well as help maintain funds. They must be willing to build healthy relationships with all working members of processing transactions -- Advisor, Residence Director, and other Residence Life Staff as needed.

Responsibilities

General:

  • Develops an accounting system related to the adopted budget and maintains transparent financial record of everything
  • Be responsible for additional duties as specified by the Executive Director or Board

Organization:

  • Keep accurate records of the status of each account under the control of the organization
  • Serve as the primary financial advisor to both the Executive Board
  • Establish and enforce financial policies in accordance with the Constitution
  • Primary authority for interpreting the budget
  • Coordinate all disbursements of funds from accounts under the control of the organization
  • Work with the Advisor and other Residence Life Staff when necessary to process, validate, and record all transactions
  • Coordinate any fundraising efforts on behalf of the organization

Executive Board:

  • Provide the status of the accounts under the control of the organization at each Executive Board and Hall Council meeting when needed
  • Attend Weekly Executive Board meetings, arriving on-time

Committees:

  • Serve as an advisor to each of the standing and ad-hoc Committees assigned to the Director of Finance that the organization establishes (ex. Financial Oversight Committee)
  • Work proactively with the auditor in order to ensure financial compliance and effective record keeping

DIRECTOR OF COMMUNITY DEVELOPMENT

Description

The Director of Community Development is the champion of all programming focused on the residents within their governance. They will look to build community for, as well as, advocate and recognize the residents within the hall. Lastly, they will be the primary contributor of program ideation and implementation.

Responsibilities

General:

  • Enthusiastically committed to building community within the hall
  • Be responsible for additional duties as specified by the Executive Director or Board

Organization:

  • Coordinate all community development efforts of the organization
  • Maintain contacts needed to implement programs
  • Maintain contact and good relations with outside organizations
  • Make appropriate effort to advise the organization and residents on local programs
  • Plan, coordinate, and execute the End of the Year awards or recognition for residents and staff in the hall

Executive Board:

  • Regularly update the other Executive Board members on programming efforts
  • Attend Weekly Executive Board meetings, arriving on-time

Committees:

  • Serve as an advisor to each of the standing and ad-hoc Committees to the Director of Community Development that the organization establishes (ex. Program Committee)

DIRECTOR OF EXTERNAL RELATIONS

Description

The Director of External Relations acts as the primary liaison between the organization and the broader student body. They are invested in establishing and maintaining strategic partnerships both on and off-campus to enhance the hall community. Lastly, they work closely with the Executive Director to bring continuous improvement to the living conditions in the hall they bring governance to.

Responsibilities

General:

  • Works diligently to assure to make connections that will better enhance the hall’s community
  • Be responsible for additional duties as specified by the Executive Director or Board

Organization:

  • Oversees partnerships with other student organizations, as well as off-campus initiatives
  • Liaison for the organization with other students groups and campus bodies to foster collaborative initiatives and programming
  • Plan, coordinate, and execute the End of the Year awards or recognition for those outside that hall
  • Main contact with other hall associations on campus

Executive Board:

  • Regularly updates the Board on the health of established partnership as well efforts made to create new connections with other student and campus organizations
  • Attend Weekly Executive Board meetings, arriving on-time

Committees:

  • Serve as an advisor to each of the standing and ad-hoc Committees to the Director of External Relations that the organization establishes (ex. Ever Better Committee)

DIRECTOR OF MARKETING

Description

The Director of Marketing champions all communication efforts, not limited to, the promotion of programs, funding, and general advertising. They will work closely with the Director of External Relations to generate public awareness of the organization's efforts.

Responsibilities

General:

  • Develop content that is appealing to the Hall’s residents and represents the organization with a standard of excellence
  • Be responsible for additional duties as specified by the Executive Director or Board

Organization:

  • Generates promotional materials
  • Develops social media content to keep the school community engaged
  • Contributes to program discussion from a marketing standpoint
  • Supports the Director of Community Development by assisting with motivating residents to participate and contribute to the organization’s programming

Executive Board:

  • Attend Weekly Executive Board meetings, arriving on-time

Committees:

  • Serve as an advisor to each of the standing and ad-hoc Committees to the Director of Marketing that the organization establishes (ex. Marketing & Design Committee)
