Executive Director

Description

The Executive Director ensures the continuous operation of all facets of the organization both at the Executive Board and Hall Council level. They act as a voice for the organization and its residents through continued contact with key administrators throughout campus. Lastly, they work to effectively promote and protect the image of the organization both on and off campus.

Responsibilities

  • General:
    • Coordinate the advisement of the Hall Council with the Advisor, Executive Board, Hall Ambassadors, and Leadership Program Staff. Be responsible for additional duties as specified by the organization’s advisor or Leadership Program Staff
  • Organization:
    • Maintain ultimate responsibility for the operation of the organization
    • Maintain contact with key administrators vital to the interests of the residents
    • Represent the residents at any committee on which the organization maintains a voting or nonvoting seat, either personally or through appointment
    • Protect and promote the image of the organization
    • Complete an annual report along with the executive board team prior to the end of April
  • Executive Board:
    • Preside over the Executive Board
    • Responsible for preparing a basic agenda and facilitating weekly Executive Board Meeting
  • Committees:
    • Establish Committee Chairs and other positions as provided for in this Constitution and the By-Laws

DIRECTOR OF COUNCIL RELATIONS

Description

The Director of Council Relations serves directly as the point person for the organization's affairs, advocacy, and assessment. They must have the capacity to see how past and present decisions will impact the goals and overall effectiveness of the organization's future. Lastly, they will provide the Executive Board and Advisor meeting minutes and are in charge of managing the organization’s digital folder.

Responsibilities

  • General:
    • Works to ensure the organization is prepared, recorded, and continuously improving
    • Be responsible for additional duties as specified by the Executive Director or Board
  • Organization:
    • Enforce organizational policies and procedures where applicable
    • Keep accurate records of all organizational business
    • Provide meeting minutes to Executive Board and Advisor within twenty-four hours
    • Serve as the “Historian”
    • Serve as the “Quality Control” manager
    • Take ownership of the organizational website (ex. CCC)
    • Act as Executive Director in the event of the Executive Director's absence
    • Temporarily assume the Office of the Executive Director should the Office be vacant
  • Executive Board:
    • Record the minutes of each meeting
    • Responsible for the orderly filing and maintenance of meeting agendas and minutes
    • Attend Weekly Executive Board meetings, arriving on-time
  • Committees:
    • Serve as an advisor to each of the standing and ad-hoc Committees assigned to the Director of Council Relations that the organization establishes (ex. Ever Better Committee)

DIRECTOR OF FINANCE

Description

The Director of Finance develops the organization's annual budget of expenditures and income, and ensures fiscal responsibility of all funds. They must be willing to build healthy relationships with all working members of processing transactions -- Advisor, Residence Director, and other Residence Life Staff as needed.

Responsibilities

  • General:
    • Develops an accounting system related to the adopted budget and maintains transparent financial record of everything. Be responsible for additional duties as specified by the Executive Director or Board
  • Organization:
    • Keep accurate records of the status of each account under the control of the organization
    • Serve as the primary financial advisor to both the Executive Board
    • Establish and enforce financial policies in accordance with the Constitution
    • Primary authority for interpreting the budget
    • Coordinate all disbursements of funds from accounts under the control of the organization
    • Work with the Advisor and other Residence Life Staff when necessary to process, validate, and record all transactions
    • Coordinate any fundraising efforts on behalf of the organization
  • Executive Board:
    • Provide the status of the accounts under the control of the organization at each Executive Board and Hall Council meeting when needed
    • Attend Weekly Executive Board meetings, arriving on-time
  • Committees:
    • Serve as an advisor to each of the standing and ad-hoc Committees assigned to the Director of Finance that the organization establishes (ex. Financial Oversight Committee)
    • Work proactively with the auditor in order to ensure financial compliance and effective record keeping

DIRECTOR OF COMMUNITY DEVELOPMENT

Description

The Director of Community Development is the champion of all programming efforts coming out of the organization. They will be the primary contributor of program ideation and implementation. Lastly, they will oversee all program communication both internally and externally.

Responsibilities

  • General:
    • Enthusiastically committed to building community within the hall. Be responsible for additional duties as specified by the Executive Director or Board
  • Organization:
    • Coordinate all community development efforts of the organization
    • Maintain contacts needed to implement programs
    • Maintain contact and good relations with outside organizations
    • Make appropriate effort to advise the organization and residents on local programs
  • Executive Board:
    • Regularly update the other Executive Board members on programming efforts
    • Attend Weekly Executive Board meetings, arriving on-time
  • Committees:
    • Serve as an advisor to each of the standing and ad-hoc Committees assigned to the Director of Community Development that the organization establishes (ex. Program Committee)
