Grants Management Users Receive Reports in W: Drive

Grants Management users will see a Manager Financial Report bursted to their Workday W: Drive for each Grant users have access to. Also bursted is the Monthly Transactions Printable (NCL) URF0943 report.

To view bursted report(s) in the Workday W: Drive, follow these steps:

  1. Log onto UR Financials
  2. Click My Account profile, then select W: Drive
  3. From the My Reports page, click the More Report button at bottom of page, then select the Ok button to see all reports generated in the last 30 days
  4. Once all reports are listed, click a report link from within the File Name column, to open

These reports have been set to persist for only 30 days in the Workday W: Drive. To keep reports, please save it to your hard drive on your local computer.  To print multiple reports from the W: Drive, instructions are listed in the Tips and Tricks section of the UR Financial Newsletter.

Due to this report burst, notifications have been generated. There will be one listed for each report in your W: Drive.  For instructions on how to access Notifications visit Self Help (FAQs).

Reporting Workshops in May

Additional Reporting Workshops are being offered in May to active users in the UR Financials production system.

If you would like hands-on support and practice running reports in the production environment, sign up for any of these 2 hour sessions.  Each are designed to be interactive and answer questions you may have on common financial reports in the UR Financials system.

Grants Management Reporting Slide Deck Available

On Friday March 27th, UR Financials offered a presentation with Jeff Sullivan on Grants Management Reporting and the “Big 3″. This discussion and demonstration covered three reports necessary for Grants Management (GM); Manager Financial report, Transaction Detail Printable (NCL) URF0943 report, Award Budgetary Balance URF0840 report. It also provided a fundamental review of terminology and concepts regarding GM reporting.

The PowerPoint presentation slide deck for this event has now been added to the Grants Management SIG page, entitled GM_Reporting – the BIG 3. A video recording of this presentation will be available for review in April.

Grants Management Reporting Demonstration & Discussion

Based on your feedback, we are pleased to announce a UR Financials presentation dedicated to Grants Management Reporting with Jeff Sullivan, Assistant Controller from the Office of Research Accounting & Costing Standards.

This presentation will cover the three reports necessary for Grants Management:

  • Manager Financial report
  • Transaction Detail report
  • Award Budgetary Balance report

Grant Management Monthly Transaction Report Bursted

Today, all Grant Management report users will find the Monthly Transactions Printable (NCL) URF0943 report(s) bursted to the W: Drive within Workday.

The UR Financials Reporting team has created a Report Group specifically for Grant users based on this report.   This is by exception only.
Cost Center Managers can create their own report group by following steps outlined in the Creating a Report Group (Cost Center Financial Analysts): Step Guide

To view bursted report(s) in the Workday W: Drive, follow these steps:

  1. Log onto UR Financials
  2. Click My Account icon profile and select W: Drive
  3. Under File Name, click on the bursted report you want to open
  4. Click Report icon to open

This report has been set to persist for only 30 days in your W: Drive within Workday. If you would like to keep this report, please save it to your hard drive on your local computer.

Remember: all other reports need to be run manually.

You may notice in your My Account menu that you now have Notifications. These are generated for each report bursted to your W: Drive.  Please follow the steps outlined in Self Help (FAQs) on how to access Notifications.

Inbox viewing in Workday: Full view upon selection

Your Workday Inbox viewing has slightly changed.  No longer will an arrow be used to select and view your entire message.

Now your message will automatically appear to the right of the screen once selected from your Inbox.

  1. To expand the message view, select the Full screen Viewing Mode icon (double headed arrow) next to the gear Actions icon Inbox expand
  2. Select the icon once more (toggle) to return the message size to its original size

My Workday 2.0 includes Grant Management Dashboard: Worklets 5 or less

Worklets on the My Workday 2.0 home page allows for quick access to your favorite links.  The My Workday 2.0 home page has undergone some recent changes listed below:

  1. Only allows up to five (5) Worklets to show at one time for all users
  2. Now automatically includes the Grant Management Dashboard for Grant users

If more than 5 Worklets are configured on the My Workday 2.0 page, please prioritize the Worklets selected to only show the five needed. If you have more than five listed, the remaining Worklets will not appear.
To do this, Configure Worklets  to modify the type and order as you would like them to appear on your My Workday 2.0 page. This includes the Grant Management Dashboard that has been automatically provided to all Grant users now in Worklet form.

UR Financials will Upgrade to Workday 24

On March 14th UR Financials will participate in a scheduled upgrade that impacts all users.  The majority of these changes are in reference to the Workday interface.

Here are some of the changes you will see after March 14th:

  • Home icon added to top Navigation
  • Navigation Menu icon (three lined column icon) removed – W: drive, Inbox, and other items merged with the Profile icon
  • Grants Dashboard added to Worklets configuration
  • Worklets on Home page will fill entire screen, until you add more
  • Floating Approval bar

Remains the same in UR Financials:

  • Workday logo takes you home
  • Use Profile icon used to log off

We have provided a brief Workday 24 overview to highlight user Interface changes for this upgrade.

Multiple FAO data in One Scheduled Report Run for Cost Center Users

As you know, within UR Financials you have the ability to schedule and run month end reports that replace your previous monthly ledger and monthly transactions reports you received in COGNOS.

These include the follow reports:

  • FAO Budgetary Balance Summary – Monthly Ledger Printable URF0941
  • FAO Available Balance Summary (NCL) URF0905
  • FAO Available Balance Summary by UR Project (NCL) URF0908
  • Monthly Transactions Printable URF0942

A new Workday feature now allows Cost Center Financial Analysts to create a Report Group which will report on multiple FAOs in one scheduled run.

When using this feature, it is important to configure your Report Group for three FAO types, if needed:

  1. Operating Programs
  2. Gifts
  3. Projects

With this feature, you can manually choose which of the three to set up and re-use the scheduling set-ups each month just by changing the run dates.

Instructions on how to create a Report Group can be found on the Reporting FAQs page of UR Financials website and on the Training Materials page Under the NCL Reporting section.

We strongly encourage participation in the User call-in session and Report Workshops as they will devote periods of time for those who wish to have assistance in this set up. All set up activity must be completed by the user who will be setting up the report grouping and scheduling of the runs.

Reporting Changes and the Monthly Ledger

You may have noticed that some of your UR Financials reports have changed.

Updates to Reporting:

  • Unique Identifiers added to report names (URF0945, URF0941 etc.)
  • Common Financial Report worklet added to the Workday home page
  • Additional filtering prompts in the FAO Budgetary Balance Summary – Monthly Ledger report
  • Print Friendly Reports

These new features have been added to assist you with your reporting needs.

Unique Identifiers have been added to some report names and can be used to quickly search for reports – just type in the URF and number in the search bar in Workday.

A Worklet has been added to your home page with recommended reports that you may find helpful as you manage your account activity.  Also included are report descriptions for users to quickly understand the purpose for running.

The Monthly Ledger report has been updated as last seen in your report training class and is now entitled FAO Budgetary Balance Summary – Monthly Ledger Printable (NCL)URF0941.
Previously, you could refine your reporting criteria by only three fields; Company, Organization and Period. This updated version now contains a more robust set of report search criteria.  More filtering options have been included such as; Fund, Cost Center, and most FAOs (Operating  Program, Debt Service, Gift, Loan Program and Project). Please know that If you have added this report to your favorites worklet, the name will update automatically. Any saved filters should not be affected.
Tip:  Use the additional filtering prompts if you want to pull out one or a few OPs from all FAO(s)/Cost Center(s) that you have access to in this report.

Another benefit recently added to some reports in UR Financials is a “printable” option as indicated in the name. Reports could always be printed, but this version has better formatting with cleaner printouts that are easier to reconcile against.

Remember:  Once you have refined your report to pull the data you need, save your filters at the bottom of the report prompting screen.
