N2232 No-Show Audit Report
Purpose
This Workday report shows data indicators that suggest if an incoming first year or transfer student might be at risk for no show. No-Show students are new, incoming students who are expected to attend classes, but never actually arrive, participate, or attend any sessions. Using this report, university administrators can take early intervention to assist students in various ways so that they will have a successful start to the semester. 
Description

Scope

  • Undergraduate, Graduate, and Medical students for all schools, excepts ECMS
  • Includes both part time and full time registration
  • Includes exchange students
  • Excludes non-matriculated students (with the exception of exchange students)

Data Sources

  • Data are sourced from UR Student and StarRez (student housing)
    • The pool of students is from Workday.  If a student is not in Workday, they will not appear on the report.

Timing

  • The report is using data for Fall 2025 students. Data are refreshed daily at 6:30 am.

Additional Details
Caveats
This report will only run for 1 year, due to a technical limitation of Workday/Prism. We will need to create an annual process to republish the report each summer. 
Terms are hard coded into the report, so the term date will need to be updated for each semester (Spring & Fall)
All STANDARD academic periods for the term (e.g. for Fall) will be selected EXCEPT the non standard terms and ECMS term. StarRez terms are hand entered and may potentially have typos or inconsistent values. 
StarRez has "Valentine Fall 2025", "Valentine Spring 2026", etc. as term names for students in the Valentine building.  We were not aware of this as we are not seeing these "Valentine" terms in the StarRez extract (right now those are coming across in the extract as Fall 2025 with no "Valentine" prefix).  The current report will not Join Valentine terms properly (if they start showing up in the StarRez extract).  Until the report is updated, students with "Valentine" terms will not have housing data in the report.
Workday terms that do not follow a format that starts with [Season] [Year] will not be in the report.  E.g. Simon Pre-Fall, and 'A' and 'B' terms.

We will likely need to deal with multiple Fall terms per Student (e.g. "Fall 2026 Lottery" and "Fall 2026" for same student) which will break our current process as it will result in 2 Fall 2026 rows for a single student.  Solution will be to specify the terms we want in the StarRez report (need to work with Housing each year to make sure we pick up all the valid terms in case they create new terms we don't know about).
