PI Dashboard
Overview
The PI Dashboard provides Principal Investigators and administrators with a centralized view of their or their PIs’ sponsored research portfolio. The dashboard aggregates data from Workday and IORA to present project timelines, funding information, expenditures, and proposal activity in one location through interactive visualizations and summaries.
The goal of the dashboard is to help investigators and administrators easily monitor the status of their sponsored research projects and support proactive planning, effective financial management, portfolio oversight, and informed decision-making.
Who Has Access
We are currently rolling out access to the PI Dashboard to Principal Investigators and administrators by school between April 2026 – October 2026:
- April: Warner School of Education & Human Development
- May: Eastman School of Music & Simon Business School
- June: Eastman Institute for Oral Health & School of Nursing
- July: Hajim School of Engineering & Applied Sciences
- August: School of Arts & Sciences
- September: School of Medicine & Dentistry
- October: Laboratory for Laser Energetics
Important: Access to the PI Dashboard is based on roles within IORA and UR Financials (Workday). Once a school enters its rollout window, PIs and administrators in that school will only see information in the PI Dashboard if they have the following roles assigned:
- For PIs: assigned as a Principal Investigator (PI), Program Director (PD), or Co-Principal Investigator (Co-PI) in IORA.
- For Administrators: assigned as Grant Financial Analyst or Grant Manager in UR Financials.
Users will only see data associated with the projects for which they have these roles.
How to Access the Dashboard
To access the dashboard:
- Go to: https://dashboards.rochester.edu
- Login using your Active Directory credentials
- Select Grant and Proposal Reports
- Then select Principal Investigator Projects Summary
If you believe you should have access but are unable to view the dashboard, please contact the support team listed below.
Dashboard Structure
The PI Dashboard contains five primary tabs, each designed to provide a different perspective on an investigator’s research portfolio.
- Principal Investigator Projects Summary: Provides a high-level overview of sponsored projects for the PI.
- Project Spending Trends: Displays cumulative authorized amounts, expenditures, and spending forecasts for a selected project.
- Project Finance (FAO) Summary: Displays authorized award amounts and expenditures by financial account (FAO) and budget period.
- Project Expenditures by Spend Category: Provides detailed views of expenditures by category.
- Principal Investigator Proposals Summary: Provides a summary of awarded and pending proposals.
- Note: Only PIs will be able to see information on the Proposals Summary tab as the information is sourced from IORA and viewability is based on the role assignment of PI, PD, or Co-PI.

Data Sourcing & Refresh
The dashboard aggregates data from multiple institutional systems:
- IORA Grants (Huron Research Suite)
- UR Financials (Workday)
Dashboard data is refreshed daily.
Questions & Support
The Data Warehouse team in University IT holds weekly open office hours via Zoom for individuals to attend if they have technical questions. Simply drop in using the following Zoom link any time on Every Tuesday, 3:00pm – 4:00pm ET.

Frequently Asked Questions
The dashboard will display only projects for which you are listed as a Principal Investigator (PI), Program Director (PD), or Co-Principal Investigator in IORA. The dashboard only shows external funding – internal awards are not included in this dashboard.
Data is pulled from the University Data Warehouse, which aggregates information from authoritative institutional systems including IORA and UR Financials.
Dashboard data is refreshed daily.

No. The dashboard is designed as a tool to support project oversight and discussions, but it does not replace regular communication with departmental research administrators or financial reporting processes.
Only PIs will be able to see information on the Proposals Summary tab as the information is sourced from IORA and viewability is based on the role assignment of PI, PD, or Co-PI.
No – the information displayed in the PI Dashboard is sourced from UR Financials and IORA. So any adjustments that need to be made must be made through the information source (UR Financials or IORA). Please work with your research administrative staff on required changes.
Access to the dashboard is based on role assignments in UR Financials. Only individuals with the role assignment of Grant Financial Analyst or Grant Manager or Principal Investigator in UR Financials will have access to the dashboard.
No – the dashboard only displays external sponsored research awards.
No – encumbrances sourced from Coeus are not part of the Phase I rollout. Only true expenditures are visible in the dashboard. Projections are based on spending trends.
To check your current role assignments in UR Financials (Workday), login and navigate to View Profile > Actions > Security Profile > View Role Assignments for Worker Position.
For PIs: If you are not the PI, PD, or Co-PI on a sponsored research project proposal or award in the IORA system, you will not see the data in your dashboard for that particular project.
For Administrators: To obtain the correct role in order to view data in the PI Dashboard, login into UR Financials and navigate to View Profile > Actions > Security Profile > Initiate Authorization Request. Once in the form:
- Select ‘UR Financials Common Roles’ and follow the prompts on the screen.
- On the Authorization Request for Worker page, under Add Roles:
Either:
- Select ‘Grant Hierarchy’ for Organization Type, type in your HR Department number for Organization, select ‘Grant Financial Analyst’ or ‘Grant Manager’ for Requested Roles
OR:
- Select ‘Grant’ for Organization Type, type in the appropriate grant FAO in Organization, select ‘Grant Financial Analyst’ or ‘Grant Manager’ under Requested Roles
- Click Next then Submit
Once approved, you will have access to the corresponding grant financials in the PI Dashboard.
