Vaccination, especially followed by a booster, has shown to be highly effective in preventing serious illness against the Omicron variant. Additionally, New York State recently passed a booster mandate for health care workers, which covers many of our University’s employees. Our epidemiologists, public health experts, and scientists continue to stress the effectiveness and safety of COVID vaccines and the University believes requiring a booster vaccination is in the best interest of the health and safety of the University community and the individual employee.
Employees who received their booster dose at an Employee Health vaccine clinic in LeChase Assembly Hall are already recorded and no further action is required. Employees who have received their booster at any other location, including UR Medicine locations, will need to submit proof of the booster vaccination through the University portal. Please note you must be on the University’s network or VPN to access the portal.
The University will notify eligible employees who do not have a booster on record as well as those who are not yet eligible by email in the coming days. Those with current approved exemptions will be honored and must continue to follow the protocols set by the University. Any new exemption requests must complete the steps to apply on the University portal by selecting “update status”.
A reminder on face masks: they must be worn properly, covering the nose and mouth, indoors on the University’s campuses and properties. Visit the face mask FAQ page for full information. Face masks with air valves are not permitted, nor are face shields alone without a proper face mask underneath.

The Undergraduate Research Expo application window is now open. Students looking to present their research in a fun, university-wide setting are encouraged to apply. Submissions from students of all disciplines are welcome and are due March 15. Research done at Rochester, at another institution, over the summer, or during the academic year is all welcome at the expo, taking place Friday, April 15. All students, faculty, staff, family, and friends are welcome to attend.
The Discover Grant application period for summer research funding is also open. If you are a current University undergraduate student who will be returning in the fall semester, and you are planning to do unpaid research this summer under a University supervisor, you may apply for the Discover Grant for summer undergraduate research funding. The application deadline is March 31. Learn more about the Discover Grant at an information session from 5 to 6 p.m. EST on Wednesday, January 26, or Thursday, January 27, via Zoom. Orientation leader applications due Sunday
Applications for 2022–23 orientation leaders are due Sunday, January 30, at 11:59 p.m. EST. AS&E undergraduate students can apply for the position on JobLink (Job ID 23355). The orientation leader role is a year-round, paid job responsible for mentoring a cohort of incoming first-year and transfer students, as well as developing and leading virtual and in-person programs ahead of their arrival and during their first year on campus. Over the past two years, student-facing faculty and staff have been incredible supports for students as they navigate mental health struggles. The University Coalition on Student Mental Health and Wellness acknowledges that in order to improve student well-being, the mental health and well-being of faculty and staff who engage with the student body is an essential ingredient.
Complete this short survey to tell the coalition about your mental health and wellness. Data will be kept anonymous and will be used to help make recommendations to help support faculty and staff well-being. Open to all student-facing faculty and staff until February 10.
2021 W-2s now available
2021 Form W-2s are available for viewing and printing in HRMS. Log on to HRMS with your NetID and password and follow the path Main Menu > Self-Service > Payroll and Compensation > View W-2/W2-c Forms. If you did not consent to receive your W-2 form electronically, it will be mailed out by January 31.
2021 Form 1042-S will be issued electronically by January 31 and will be available in Glacier. If you have a complete Glacier record as of December 31, 2021, you will receive an email from Glacier explaining how to view and print your form. Participants in Koru report feeling less stressed, sleeping better, being more mindful, and feeling greater compassion for themselves, which can lead to greater resiliency. Koru is a four-session, non-credit class specifically designed for university communities that teaches mindfulness and meditation skills. The classes are open to all University students, faculty, and staff; registration is required.
