Managing a Strong Staffng Employees Time

  • Pay Codes Available to Strong Staffing Employees
    • Validation of pay codes will occur every pay period.
    • Unapproved Absences - To be utilized for absences that were not previously approved (i.e. No Call, No Show).
    • Approved Absence - To be utilized for approved vacations or call ins when no sick time is accrued to use.
    • Jury Duty - Jury Duty Certificate NEEDS to be submitted to SStaffTimeCards@HR.Rochester.edu for pay code to be validated.
    • Sick Time - for Medically related reason following Policy 337.
    • Holiday Pay - ONLY for hours WORKED on that holiday. Holiday pay will not be paid if that holiday was not worked and Sick time CANNOT be used in substitution.
  • Meal Times in UKG
    • Meal periods will automatically be deducted from the time entered based on the employee's home department. For Strong Staffing a deduction of 30 min. will occur for all shifts worked if over 6 hours. If the department requires a different meal period, the employee will NEED to swipe out and back in.
  • Time Entry with UKG
    • Strong Staffng employees will enter time worked in UKG or by using the time clock. (Departments will provide guidance on the preferred method for submitting time.)
    • Strong Staffng employees working at Highland Hospital will continue to submit paper, approved timecards even after the go-live.
    • The time clocks will have new buttons, including "In Punch" and "Out Punch".
    • Employees will enter time worked by "touching" the appropriate button, then "swiping" their ID badge.
  • Locating the Strong Staffing Names in UKG
    • Strong Staffing Time Keeper adds a schedule that includes the costing allocation from the request form submitted.
      • Adjustments to any costing allocation should be communicated to the Strong Staffing Team, NOT directly in the transfer cell in UKG.
    • Department will set up a Hyperfind for primary job transferred in (My Direct Reports will NOT have SS employees listed) to approve time for the Strong Staffing Employee working in the department.   • Attributes in UKG for Strong Staffing
    • Sick Time
      • Strong Staffing Employee request for Sick time will route to Strong Staffing Recruiter.
      • Strong Staffing Recruiter will do outreach, outside UKG to the direct department for a decision.
      • Strong Staffing Recruiter will indicate that decision in UKG to the employee.
      • Changes to that request will follow a similar process.
      • If approved the time will populate on the Strong Staffing Recruiters calendar only.
    • Schedules for all Strong Staffing Employees will be indicated by a Transfer icon .
    • Schedules are required to be for the length of the pay period.
    • Exception icon will indicate the days without hours and need to remain in that cell.
