Hotel Information

Participants must reserve their own hotel room using the link on the Hotel Information page of the website. A credit card is required to hold the reservation. Through the Northeast Noyce Grant, the University of Rochester will reimburse the cost of your room (excluding incidentals) after your stay, provided you attend. Once processed, reimbursements are expected to arrive within 45 days. Cancellations must be made at least 72 hours before the conference. If you do not cancel and fail to attend, you will be responsible for the room charges.

Conference Hotel FAQ

This section is designed to answer common questions about hotel reservations and expense coverage for the 2026 Northeast Noyce Regional Conference. We want to make the process simple and ensure your stay is fully supported. Booking a hotel room
Q: How do I book my hotel for the conference?

A: Use this direct link to book your room within our conference room block.

Q: What is the room rate per night?

A: Within our conference block, the room rate is $209 per night (plus taxes and fees). You have the option of a room with 1 king bed or a room with 2 queen beds. If you are not planning to share a room, please choose 1 king bed.

Q: Is a room reserved for me once I register for the conference?

A: No. This year, you are responsible for reserving your own room for the conference. A credit card is required to make your reservation. If you are unable to reserve your own room due to financial constraints, please email NortheastNoyce@warner.rochester.edu

Q: Who pays for cost of my hotel stay?

A: You will be responsible for paying for your hotel stay at check out. Through the Northeast Noyce Grant, the University of Rochester will reimburse the cost of your room (excluding incidentals) after your stay, provided you attend. Once processed, reimbursements are expected to arrive within 45 days.

Q: What do I do if I am unable to make a reservation due to financial constraints?

Q: Can I cancel my hotel reservation if I am unable to attend?

A: Yes. You will be responsible for cancelling your own hotel reservation. You must cancel your hotel reservation at least 72 hours prior to the conference start date (March 26, 2026). If you fail to cancel and you do not show, you will be financially responsible for hotel stay. The University of Rochester will NOT be able to reimburse the cost of your hotel stay.

Reimbursement Payments
Q: How long will it take to get reimbursed for my hotel stay?

A: Once processed, reimbursements are expected to arrive within 45 days.

Note: Reimbursements are processed as a bulk submission, not on an individual basis. The University of Rochester will be begin to process reimbursements once we have received all reimbursement requests.

Q: When is the deadline to submit for reimbursement?

A: Wednesday, April 1, 2026

Q: Can I submit for reimbursement after the deadline?

A: No. The University of Rochester will be processing over 200 conference reimbursements, which takes a significant amount of time and effort. By allowing late submissions, it will delay when reimbursements reach participants. Therefore, we will not be able to accommodate late submissions.

Q: Are hotel incidentals reimbursable?

A: No, the conference will not reimburse incidental charges such as room service or personal expenses.

Room Sharing
Q: Will I be required to share a room at the conference?

A: No. By making your own hotel reservation, you have the ability to choose whether you want to share your room with another participant. We ask that if you are not sharing a room, please select a room with 1 King Bed.

Q: It is encouraged to share a room?

A: Yes. While it is not required, sharing a room will allow us to accommodate more participants. Room sharing also helps if one of the participants has a financial constraint that makes it difficult to make their own hotel reservation.

Note: On the conference registration form, you will be asked if you will be sharing a room and who you will be sharing a room with.
