Travel to Philadelphia
Because the conference is next week, our designated travel agent is no longer booking flights or train travel. If you still need to make travel arrangements, you must book independently and submit expenses for reimbursement.
Reimbursement guidelines:
- Up to $578 for a roundtrip flight (basic economy fares only)
- Up to $300 for train travel (coach class only)
- Airport or train station parking is also reimbursable
To be eligible for reimbursement, conference check-in in Philadelphia is required.
Announcement regarding cancelling travel if you can no longer attend the conference
Canceled flights and train tickets will result in costs that are not covered by the Northeast Noyce Professional Learning Network grant (NSF #2320386), as federal funds can only be used for individuals who physically attend the event. Cancelations will require further review and identification of alternative payment sources. If you need to adjust your travel plans, please email NortheastNoyce@warner.rochester.edu, and we will work with the travel agency to explore available options.

A: Yes, you will need to show an itinerary and receipt for your travel to be reimbursed. Any upgrades are not reimbursable (i.e., first class). Receipts required
Reimbursement guidelines:

A: The mileage rate for the number of miles traveled to and from the conference will be the government established rate per mile as will be set on 1-1-2026. We will use the address you submitted during registration to calculate your mileage for reimbursement.
**Note: Mileage includes gas expenses and general wear and tear on vehicle
A: Yes, tolls can be reimbursed for both rental vehicles and self-driven vehicles. Toll Receipt must list ONLY tolls associated with conference travel, and toll receipt must add up to those tolls. Toll receipts must be uploaded as readable PDFs.
A: Yes, you can be reimbursed for gas expenses, tolls, and the cost of the rental vehicle. Receipts required
A: Yes, you can be reimbursed for taking a Uber/Lyft/Taxi from your home to the airport/train station. Receipts needed
Yes, you can be reimbursed for parking your vehicle at the airport or train station. Receipts needed.
A: Public transportation, cab, Ubers, and Lyfts will be reimbursable up to $100. We will only reimburse routes between the following locations (Philadelphia airport, Philadelphia train/bus stations, and Hilton Philadelphia at Penn’s Landing). Private car services are not reimbursable. Receipts & Proof of Routes between locations are required.
A: The Independence Seaport Museum (211 S Christopher Columbus Blvd, Philadelphia, PA 19106) is within walking distance (30 ft) from the Hilton Philadelphia at Penn’s Landing (201 S Christopher Columbus Blvd, Philadelphia, PA 19106)
A: Once processed, reimbursements are expected to arrive within 45 days.
Note: Reimbursements are processed as a bulk submission, not on an individual’s timeline. The University of Rochester will be begin to process reimbursements once we have received all reimbursement requests.
A: Wednesday, April 8, 2026
A: No. The University of Rochester will be processing over 200 conference reimbursements, which takes a significant amount of time and effort. By allowing late submissions, it will delays when reimbursements reach participants. Therefore, we will not be able to accommodate late submissions.
