Hotel Information

Participants must reserve their own hotel room using the link on the Hotel Information page of the website. A credit card is required to hold the reservation but will not be charged. Through the Northeast Noyce Grant, the University of Rochester will cover the cost of your room (excluding incidentals and/or additional nights), provided you attend. Cancellations must be made at least 72 hours before the conference. If you do not cancel and fail to attend, you will be responsible for the room charges.

We want to make the process simple and ensure your stay is fully supported. Booking a hotel room
Q: How do I book my hotel for the conference?

A: Use this direct link to book your room within our conference room block.

Q: What is the room rate per night?

A: Within our conference block, the room rate is $209 per night (plus taxes and fees). You have the option of a room with 1 king bed or a room with 2 queen beds. If you are not planning to share a room, please choose 1 king bed.

Q: Is a room reserved for me once I register for the conference?

A: No. This year, you are responsible for reserving your own room for the conference. A credit card is required to make your reservation, but will not be charged at the time you make the reservation.

Q: Who pays for cost of my hotel stay?

A: Through the Northeast Noyce Grant, the University of Rochester will cover the cost of your room (excluding incidentals and/or additional nights), provided you attend.

Q: What do I do if I am unable to make a reservation due to financial constraints?

Updated A: As long as you :

  • Attend the conference
  • cancel your reservation 72 prior to March 26th (if you are unable to attend)
  • do not have incidentals charged to your room
  • do not stay additional nights

your credit card used to make the reservation WILL NOT BE CHARGED.

Q: Can I cancel my hotel reservation if I am unable to attend?

A: Yes. You will be responsible for cancelling your own hotel reservation. You must cancel your hotel reservation at least 72 hours prior to the conference start date (March 26, 2026). If you fail to cancel and you do not show, you will be financially responsible for hotel stay. The University of Rochester will NOT be able to reimburse the cost of your hotel stay.

Q: Can I extend my stay in the hotel if I want to stay additional nights?

A: Yes. The $209 per night room rate is available three days prior to the conference and three days post-conference (based on availability).

Note: You are financially responsible for additional nights and will be charged at check-out. The Northeast Noyce Grant will only cover costs for Thursday & Friday night (3/26 & 3/27).

Room Sharing
Q: Will I be required to share a room at the conference?

A: No. By making your own hotel reservation, you have the ability to choose whether you want to share your room with another participant. We ask that if you are not sharing a room, please select a room with 1 King Bed.

Q: It is encouraged to share a room?

A: Yes. While it is not required, sharing a room will allow us to accommodate more participants. Room sharing also helps if one of the participants has a financial constraint that makes it difficult to make their own hotel reservation.

Note: On the conference registration form, you will be asked if you will be sharing a room and who you will be sharing a room with.
