Undergraduate Summer Research Funding

Hints, tips, and what to do before you start research this summer!

Set up Direct Deposit & VPN
  • Please confirm that you have direct deposit set up in HRMS. Direct deposit is found under the Main Menu→Self-service→Payroll & Compensation tab. 
  • It is highly recommended that you also download the University’s VPN clientif you are traveling or living off-campus so that you may access the HRMS system from your location.
  • You are encouraged to consult with a certified accountant when filing your taxes, since your funding may be subject to income tax.
If you are a US Citizen traveling outside the US, you must complete the following steps before receiving your stipend: 
  1. The Payroll Office will email you a form to certify that your experience takes place outside the US. You must sign and return the supplied form to glacier@hr.rochester.edu immediately upon receipt or your stipend will not be paid out. 
  2. You must also register your travel with the University or your stipend will not be paid out. 
If you are an international student/NRA, you must complete the following steps before receiving your stipend:

Please note: A portion of your award may be withheld by the US government; the rate of tax withholding on your summer research payment will depend on your home country's tax relationship with the US.  

  1. You must have a US Social Security number and an up-to-date GLACIER tax software account.
  2. Log into your Glacier account and click the toggle next to the following options:
    • "Non Serv 6000 6001 6002 6003 6100 6101 6102 6103" AND "Scholarship or Fellowship"
  3. Once you complete the online process, download the PDF of your tax documents and follow the instructions for submission. You will need to sign two forms, make copies of some of your immigration forms (I-20, I-94, possibly passport) and then mail or deliver these to the payroll office (attn.: PERC/Sharon Ruthman). All instructions on the submission process are in the PDF you will download and print.
