Frequently asked questions

Where do I pick up my UR ID card?

New or replacement UR ID cards can be picked up at any ID Card Services office.

What do I need to bring with me to get a UR ID Card?

You will be asked to present photo identification. Valid forms of photo identification include:

  • driver’s license
  • government-issued ID
  • military ID
  • passport
  • school ID card (with photo and no more than two years old)
What should I do if I lose or damage my current UR ID card?

If you lose or damage your University ID card, please contact the ID office at (585) 273-2000.

If I don’t like the photo on my current ID card, can I replace it for free?

No. However, the ID Office is able to determine if your current ID photo is an acceptable likeness of your current appearance. If an update is needed, a new photo will be taken and a replacement card will be issued at no cost.

What should I do with my ID card if I separate from the University?

When you separate from the University, your UR ID should be turned in at a University ID Office or returned to the Public Safety Center, in person or via mail.

What is a UR Smart ID Card?

UR Smart ID Cards include a smartcard chip that is encrypted to provide additional security and the ability to use touchless access devices on campus. Holes cannot be punched in the smart card without damaging the internal chip antenna. A card “gripper” clip is provided with the card and is available at the ID Services offices. UR Smart ID cards were introduced to the University community in spring 2020 as an upgrade to the traditional magnetic strip cards, which still work for most purposes except touchless access devices.

Who is eligible to receive a UR Smart ID Card?

All active students and employees automatically receive an ID card, and emeritus faculty, friends of the University, and new or renewed contractors are eligible. Apart from staff and student cards, all University ID cards are issued only with written approval from an authorized University official.

What do UR Smart ID Cards do for students?

The University provides ID cards for all students. They are required for checking out books from the library, cashing checks on campus, and may be required for admission to various campus events, facilities, and activities, as well as provide access to residence halls, laboratories, athletic facilities, and other areas secured by access card readers. The ID card is required by students to make purchases from their Dining Plan contracts, vending machines and laundry, and campus convenience stores. In addition, the student ID card is the principal means for identification on campus and it is useful for positive identification elsewhere.

Entering first-year students are photographed during Orientation and keep their cards through their senior year. Transfer students are photographed early in the fall and spring terms.

There is no charge for the initial identification card, but there is a $25 fee for replacement of a lost card. Worn or damaged ID cards may be turned in for a free replacement. Upon turning 21, a student may go to an ID Card Office and exchange an “Under 21” ID card, to include an updated photo and a change in the age designation field to “21 or Over.” There is no charge for this service provided they return the “Under 21” card.

Is there a fee for UR Smart ID cards?

There’s no charge to students or employees for their first UR Smart ID card; replacement cards have a $25 fee. Other categories of cards, such as new cards for contractors, may also have a $25 fee.

Will my current UR ID stop working if I don’t replace it with a new smart ID?

No. Your current UR ID card will remain functional until you are issued a new card. When you get your new Smart ID card, you are required to turn in your old card. All UR ID cards remain the property of the University of Rochester and must be surrendered to ID Office Staff when your ID Card is replaced or when you leave the University.

What should I do with University ID cards that I find, or those turned into me/my office?

Found and surrendered University ID cards should be turned over to a University ID office or returned to the Public Safety Center in person or via mail. If sent by mail please use: Attention ID Office Manager. Including a short note of explanation will also be useful and appreciated.
