Graduate Students: In Absentia Registration

The University has a “duty of care” obligation to responsibly protect our students, faculty, and staff from foreseeable risks and threats when studying, working, and traveling abroad. Currently, when graduate students register for course, the University can’t always tell if those courses involve going outside the United States.

To make sure we’re taking care of everyone and managing any risks, we must know in advance where students will travel for work, research, or study. This way we can collect accurate data about where our students are located abroad and when they’ll be there.

The University must report on courses (or more specifically, course sections) that take place away from the main campus in Rochester. By reporting this information, we can showcase how the University is doing in global rankings and national reports.

Policy: Register for two courses

To make sure we’re getting all the right, information students who are studying abroad need to register for two courses: one for their specific course section and another that includes the specific country of the program. This dual registration will help us keep track of where everyone is and report it accurately.

Sample dual registration

“In Absentia” means you’re doing schoolwork somewhere else and not on the Rochester campus.

For example, a student would register for the following two specific course sections in the graduate department:

  1. AHST 999A-1: Doctoral Dissertation In Absentia Abroad and
  2. EDAB 001-108: Research Abroad in Italy
    • Or EDAB 001-101 Research Abroad in India
    • Or EDAB 001-110 Research Abroad in Japan

Department instructions

The next steps require department administrators that own 595B and/or 999B courses in their departments to update their instructions for registration to include a required EDAB 001 registration.
