Tax responsibilities and Direct Deposit

Undergraduate Research Funding—Hints, tips, and what to do before you start research

  1. Set up mailing address
  2. Set up direct deposit (optional)
  3. Install VPN (if off campus this summer)

1. Set up Mailing Address to Receive Your Funding

Please make sure your mailing address is where you will be receiving mail the week after May 15. This should be a US address. International mailings often do not make it to their destination.

2. Set up Direct Deposit

Please note that there may be a delay of 2-3 days after our office submits the request to pay in Workday before the system recognizes you as a payroll recipient. If you already receive pay via direct deposit for an on-campus job, you do not need to repeat these steps.

  1. Log into Workday/UR Student
  2. Go to the search bar at the top of the page
  3. Type “payment elections’ in the search bar and click the task that appears when it auto-populates
  4. On the payment elections page, you can Add your bank account information at the top
  5. Next, scroll to the bottom of the page to the section labeled “Payment Elections”
  6. Under Payment Election Rule, select direct deposit and add the bank account that you just added (to "UR Payroll")

If you are an international student:

  • Please watch for an email from UR's Foreign National Payroll Office regarding a Sprintax account. Foreign National will create a Sprintax Calculus account and send you an activation email. If you have questions please contact them at fnpayroll@ur.rochester.edu. To learn more about Sprintax see the Foreign Nationals FAQ page.
  • Please note: A portion of your award may be withheld by the US government; the rate of tax withholding on your summer research payment will depend on your country of citizenship's tax relationship with the US.
  • You must have a US Social Security number.
  • You are encouraged to consult with a certified accountant when filing your taxes, since your funding may be subject to income tax or you may be eligible for a refund (foreign nationals only; there is no tax withholding for US citizens).

If you are traveling outside the US, you must complete the following steps before receiving your stipend:

  • The Payroll Office will email you a form to certify that your experience takes place outside the US. You must sign and return the supplied form immediately upon receipt or your stipend will not be paid out.
  • You must also register your travel with the University or your stipend will not be paid out.

3. Install VPN

If you are traveling or living off-campus, you will need to download the University’s VPN client in order to access UR systems from your location.
