Mail Operations

Located on Mt. Hope Avenue, the Mail Operations Center is the University’s main mail processing facility where all incoming USPS mail for zip code 14627 (River Campus) is received. All intramural mail is transported by Courier Services from the Mail Operations Center to departments and complexes throughout the University. In addition, we process all outgoing departmental mail and bulk mailings for the entire University.

Mail Services staff are recognized local leaders in business reply and bulk mail processing and can help you get the best postage discounts, lowest processing costs, and fast turnaround times. Postage savings are often 30%-40%.

External Mail

Most of the correspondence leaving the University is metered mail. To use this option, attach a Meter Mail Slip to your mail, and Courier Services will pick it up and deliver it to the Mail Operations Center as part of their regular route. Mail Operations will attach the required postage and direct bill departments as part of their month-end accounting. Monthly mail service charges can be viewed on our Reports Server after the 3rd of each month. Metered mail must show the complete return address for the University office of origin on each piece.

Internal Mail

Intramural mail is picked up and delivered without postage (letters and flats) to University internal departments by Courier Services as part of their regular route. In most cases, a department name and box number are required for delivery. The main University and Medical Center campuses are included in delivery as are several offsite and affiliate locations. Packages and excessive volume may incur a delivery fee.

What is Business Reply Mail?

Business Reply Mail is a special postage rate available for properly formatted and barcoded envelopes. It is a cost-effective means for University departments to receive mail responses to surveys, information requests, and other solicitations. Specially formatted, pre-paid, and pre-addressed cards or envelopes are provided to respondents so they can easily return requests. The University maintains a First Class Business Permit for this purpose and calculates the department cost based on the number of responses.

What is Bulk Mail?

Bulk Mail (Standard [A] Mail) is an official classification of mail that qualifies for discounted rates by meeting specific requirements. Rates are dependent on content, size, shape, weight, zip code, and quantity. A number of design and processing elements are needed for a mailing to qualify for these special rates, but if done properly, mass mailings can be an efficient way to recruit new students, market medical services, distribute information, and solicit donations. Can I send packages through intramural mail?

Yes. A delivery fee may apply.

How do I send international mail?

Please submit your international mail separately from US mail and use a separate mailing slip. Packages and parcels in excess of 13 ounces require custom documentation. You may contact the Campus Mail Center for assistance filling out documentation.
