Event Parking Guidelines

Special Event Parking
Medical Center

Parking reservations can be made for the lots below. For information on other lot availability, contact our Special Events Coordinator at tlevert3@parking.rochester.edu.

Medical Research Building (MRB)
  • Entire lot reservation:
    • $200 (UR)
    • $400 (non-UR)
    • Capacity: 30 vehicles
    • When MRB Lot fills, overflow is to the Hospital Garage

Before 8 a.m. and after 5 p.m. and on weekends, the rate for a parking attendant is $45/hour, with a 2-hour minimum.

  • Per space reservation:
      • $6/per space
      • May be paid by guest or with a validation ticket. Validation tickets can be purchased online for $4.50 each. Currently, an attendant must be used to accept validation tickets, if applicable, for your event. Coming soon: New pay station equipment will process validations electronically. More information to follow.
  • Directions to MRB for guests
Saunders Research Building (SRB)
  • $200 (UR)
  • $400 (non-UR)
  • Capacity: 40 vehicles
  • Only single spaces can be reserved in SRB Lot. The entire lot cannot be reserved.
  • When SRB Lot fills, overflow is to the Hospital Garage or MRB Lot (if available).
  • Per space reservation:
    • $6/per space
    • May be paid by guest or with a validation ticket. Validation tickets can be purchased online for $4.50 each. Currently, an attendant must be used to accept validation tickets, if applicable, for your event. Coming soon: New pay station equipment will process validations electronically. More information to follow.
Strong Memorial Hospital Garage
  • Per space reservation cost:
    • Monday – Friday
      Only single parking spaces may be reserved, as the parking garage is already being used for patients and visitors.
    • $6/per space
    • Or pay with a validation ticket
      • Validation tickets can be purchased online for $4.50 each. Currently, validation tickets must be collected by Parking Attendants. After December 2022, new pay station equipment will process validations electronically.

 

Parking Reservations

Begin your parking request by completing the online reservation form

You will receive a reservation confirmation after your request is received.

Parking reserves the right to utilize any parking area during special events. An alternate parking site will be provided for use.

Parking Payment Options

The online event reservation form requires your department’s FAO/Ledger/spend account number at the time you make your parking reservation.

The following payment methods are available:

  • Attendees Pay for Their Own Parking
  • Purchase Validation Tickets for Attendees
    Validation tickets may be purchased online for $4.50 each.

    • Validation tickets should be given to your guests upon their exit from the event.
    • Validation tickets are good for one exit only and do not expire.
  • Pay for Attendee Parking by Providing a Keycode
    On the Medical Center Campus, keycodes are available only for College Town Garage.  When the access code has been approved and created, you will receive an email with the new key code for distribution to your guests. Your department will be billed at the end of the month using the account number provided at the time the code was set up. Request a keycode here.
  • Pay for Attendee Parking with FAO #
    Department FAOs will be charged at the end of the month using the account number provided on the reservation form.

Optional Services

Costs for optional services will be charged to department FAOs at the end of the month using the account number provided on the reservation form.

Parking Attendants

Parking attendants are available for mobile patrol, directing traffic, and staffing at gated lots and booths.

There is a two-hour minimum for attendant services. Attendants will be on site 30 minutes prior to the event start time.

  • $45 per hour for each attendant (2-hour minimum)
  • $55 per hour for a supervisor (2-hour minimum)
Traffic Control Equipment

The following options are available to help direct and manage parking for your guests.

  • Traffic Cones – $5 per cone
  • Barricades – $10 per barricade
  • Generic Sandwich Board Sign (24 x 36 inches) – $5 per signA limited number of generic  “Special Event” signs are available to rent. Please do not attach additional wording or signs once they are in place.
  • Custom Sandwich Board Sign (24 x 36 inches) – $125 per sign
    One month’s notice is required to create a custom sign.
Cancellation Policy

Events canceled less than 48 hours in advance will be responsible for 50% of the event fee. If the event is canceled on site, the full event fee will be charged. To cancel an event, contact our Special Events Coordinator at tlevert3@parking.rochester.edu or 585-273-2140.
