Top story: Multiple jobs timecard guidance

Employees and student employees holding multiple jobs at the University have ONE timecard in myURHR UKG. The timecard tracks hours worked for each position.

Managers and timekeepers approve hours worked for each job within their work area. If an employee holds more than one position, different managers or timekeepers may approve job hours within the employee’s timecard. If you are a manager/timekeeper, only approve hours in UKG for the job you are responsible.

New Quick Reference Card (QRC): Approving multiple assignments (Managers and Timekeepers)

  • Provides guidance for multiple assignments in the same department family and multiple assignments in different department families.

Once all hours are entered and/or approved by the timekeeper for each job, the timecard is ready for payroll processing. Any pending changes not resolved by the timecard deadline will be rejected, but approved time will still be processed for payment.

Historical corrections

For timekeepers and managers: Take a moment to look over the newly updated how to create historical corrections QRC as it contains new information on pay codes and helpful screenshots.

Important to note:

  • For historical corrections to PTO, sick, and vacation, timekeepers/managers must insert a row in the timecard and use the following codes to make any adjustments:
    • UR PTO Correction
    • UR Sick Correction
    • UR Vacation Correction
  • A purple font denotes items that originated from other areas of UKG (e.g. from the schedule for those who use Advanced Scheduling in UKG). To adjust these entries, such as PTO, sick, vacation, non-worked pay codes, or holiday time, add a new row in the timecard and enter a negative hour amount against the same pay code.

Reminders:

  • Historical corrections can be entered on the UKG timecard after edits are enabled following payroll close.
  • Historical corrections are paid based on the entry date, which is displayed as the “effective date” on the Historical Corrections tab of the timecard. The difference is processed during the entry’s date pay period.

Ask-URHR support reminders

Only two months following go-live, the myURHR support team has answered more than 9,500 tickets submitted to Ask-URHR.

Your myURHR experience is important, so please continue submitting tickets and asking questions. Here are some reminders when submitting tickets to Ask-URHR:

  • Respond to tickets when there is an action required on your part. This helps keep the ticket active and prevents it from being closed prematurely.
  • Follow-up with Ask-URHR if the answer you received did not fully address your inquiry or significant time has passed.
    • Many of the initial responses encourage staff to chat with Ask Mel as the chatbot can quickly provide answers to a wide range of questions. (Reminder: Must be on the University network or connected via VPN to chat with Mel.)

myURHR reports crosswalk

Make sure to review the latest version of the myURHR reports crosswalk, especially if you saved the previous one. It includes updated UKG report names. The myURHR support team will continue to expand the crosswalk as new reports become available. It’s a good resource for managers, timekeepers, and coordinators. You can access it via the myURHR training webpage, Ask Mel, and also on tech.rochester.

Reminder: If you require changes to existing reports in UKG or Workday, please submit a ticket through Ask-URHR or the HR Service Desk Portal.

New Office Hours sessions

Staff are encouraged to attend Office Hours via Zoom during the designated timeframes to ask questions. Look for session descriptions, dates, times, and links on the myURHR support page. Additional sessions will be added to the February calendar as they are finalized.
