Bi-Weekly Pay Cycle Option

In response to employee feedback, the University has created a new bi-weekly pay cycle that provides more frequent pay periods and is offering salaried staff on the semi-monthly and monthly payroll plans the opportunity to transition to the bi-weekly pay cycle if they choose to do so.

What changes if you transition to the bi-weekly pay cycle?

  • Receive a paycheck every two weeks
  • Your pay schedule changes
  • Most benefit and other elected deductions are spread across more paychecks

The bi-weekly pay cycle supports staff who prefer to receive pay more frequently. Staff who transition will receive pay every two weeks while maintaining the same salary. Paychecks are smaller but more frequent and will be received six days after the end of each pay cycle. This differs from the semi-monthly and monthly pay cycles which provide pay on the last day of the pay period.

How to request the transition

Staff interested in making this transition to the bi-weekly pay cycle should carefully review the information provided. Staff who wish to move to the bi-weekly pay cycle must complete and submit the request form emailed by the Office of Human Resources on Monday, July 27, 2026. The submission deadline for this form is Monday, August 17, 2026. HR will only accept requests submitted through this form as payroll must have formal employee authorization to make the change. Upon confirmation by the Office of Human Resources, all positions you hold at the University will permanently transition to the bi-weekly pay cycle for the duration of your employment.

Due to anticipated high interest in the new bi-weekly pay cycle, the transition will be completed in phases:

  • The first 250 submissions received will transition to the bi-weekly pay cycle on September 20, 2026.
  • The next 750 submissions received will transition on November 1, 2026.
  • If there are more than 1,000 requests to transition, the University will offer additional dates throughout calendar year 2027.
  • Applicants will be notified of their pay cycle change request status along with the effective date of the transition on or before September 4, 2026.

This phased approach allows HR and the payroll office time to carefully process and validate each request to the new pay cycle.

Important dates 

  • Monday, July 27: Request form opens via email from the Office of Human Resources.
  • Monday, August 17: Submission deadline for transition forms.
  • Friday, September 4: Notification email with pay cycle transition status sent to employees who submitted a request.
  • Sunday, September 20: Transition to the bi-weekly pay cycle for first 250 submissions.
  • Sunday, November 1: Transition to the bi-weekly pay cycle for next 750 submissions.

Benefits and deductions  

Benefits eligibility are not impacted by this change. However, pay will be distributed over more pay periods. Paycheck amounts and payment dates will change. Some tax and benefit deductions will be spread across more paychecks, resulting in smaller deductions each pay period.

Employees who transition should:

  • Review and if necessary, adjust any voluntary deductions or allocations based on a flat dollar amount per paycheck, such as contributions to a savings account or retirement plan through the Benefits and Pay app in myURHR Workday.
  • Review and if necessary, adjust any automatic bill payments or personal financial arrangements aligned to your new pay cycle.

Frequently asked questions 

 

Who is eligible to request a transition to the bi-weekly pay cycle?

All staff members currently paid on the semi-monthly or monthly pay cycles may submit a request to transition.

Are faculty, residents, post-docs, or fellows able to participate?

Not at this time. The nuances associated with some faculty pay require additional system review. We anticipate having the ability to accept interest from faculty later in calendar year 2027.

I am currently on a leave of absence. Can I still participate?

Yes. Staff on a leave of absence may submit a form to transition to the bi-weekly pay cycle.

Will my salary or benefits change?

No, staff who transition to the bi-weekly pay cycle will maintain the same salary. Paychecks will be smaller and more frequent since annual pay will be distributed over more pay periods (26 for the new bi-weekly pay cycle vs. 24 for semi-monthly and 12 for monthly salaried staff).

Benefits eligibility are not impacted by this change. Some tax and benefit deductions will be spread across more paychecks, resulting in smaller deductions each pay period.

How do I request to transition to the bi-weekly pay cycle?

Staff will receive an email from the Office of Human Resources on Monday, July 27, 2026, with an online form to complete and submit. Staff should carefully review the information before completing and submitting the form by Monday, August 17, 2026. We will only accept requests through this form as payroll must have formal employee authorization to make the change. When will I be paid?

Your pay timing will depend on your transition date.

Effective Date: September 20, 2026
Those who transition to the bi-weekly pay cycle on September 20, 2026, will receive their first bi-weekly paycheck on Friday, October 9, 2026, for the pay period of September 20 through October 3, 2026. Staff will then be paid every two weeks thereafter in accordance with the bi-weekly payroll calendar.

Staff currently on the semi-monthly pay cycle will receive their last semi-monthly paycheck on Wednesday, September 30, 2026, for the period from September 16 through September 19, 2026.

Can I choose my effective date for transitioning to the bi-weekly pay cycle?

No, effective dates will be determined based on the order of form submissions received. The first 250 submissions will transition effective September 20, 2026. The next 750 will transition effective November 1, 2026. If there are more than 1,000 requests to transition, the University will offer additional dates throughout calendar year 2027. This phased approach allows HR and the payroll office time to carefully process and validate each request to the new pay cycle.

When and how will I find out whether I will transition to the bi-weekly pay cycle, and what my effective date will be?

On or before September 4, 2026, applicants will be notified of their pay cycle change request status along with the effective date of the transition, via email from the Office of Human Resources.

Will there be other opportunities to transition to the bi-weekly pay cycle, if I’m not in the first 1,000 people to submit a request?

The University will offer additional dates throughout calendar year 2027.

Will I need to start reporting my time if I transition to the bi-weekly pay cycle?

No. If your job does not currently require you to report time, you do not need to start reporting time with this pay cycle change.

What if I have more than one job with the University?

Upon confirmation by the Office of Human Resources, all positions you hold at the University will permanently transition to the bi-weekly pay cycle for the duration of your employment.

What if I have a job change around the same time as my bi-weekly pay cycle transition effective date?

If an employment transaction is in process with an effective date that overlaps with or follows the bi-weekly transition date, the transition effective date may be adjusted to align with the employment transaction.

What if I change my mind after submitting my opt-in request?

If you decide to withdraw your request, please notify the Office of Human Resources as soon as possible by contacting Ask-URHR via email.

HR must receive requests to withdraw participation by the following deadlines:

  • For a September 20, 2026, effective date: Tuesday, September 8, 2026
  • For a November 1, 2026, effective date: Tuesday, October 20, 2026

After the deadlines listed above, staff who received confirmation will permanently transition to the bi-weekly pay cycle for the duration of their employment with the University of Rochester. They will not be able to change back.
