Today by 3 p.m.: Biweekly timecard approval

For managers and timekeepers

Timecards of hourly employees for the December 29, 2024–January 11, 2025 pay period must be reviewed, edited, and approved in UKG by today’s 3 p.m. strict deadline.

IMPORTANT: Any pending biweekly timecard employee edits and/or direct entries in the timecard for the December 29, 2024 – January 11, 2025 pay period that are not resolved by the 3 p.m. deadline will be rejected. They will then have to be re-entered as historical corrections in the next bi-weekly pay period.

Timecard approvals

Whenever a timekeeper/manager approves a timecard during the current in-process pay period, it becomes locked and no employee direct edits are allowed unless the approval is removed. If an employee needs to edit their time after an approval has occurred, the individual who approved the timecard must undo that approval by selecting “Remove Approval” for the timecard to be further edited. Timecards should be reviewed and edited as needed throughout the pay period and then the approval button selected when ready for final confirmation before the deadline.

If you need to make changes to an already approved timecard within the current pay period and are unsure who approved it, go to the audit tab in UKG and follow these instructions, so you can contact the individual to remove the approval.

Time off request approvals

As a reminder, timekeepers have access to everyone in their department family, which means you could see requests in UKG from staff beyond those you are responsible for. Please be careful to approve requests for only your team members.

Hyperfinds are a particularly useful tool for filtering to specific groups in UKG. You can use existing hyperfinds such as “My Reports to Employees” or create your own.

Use of UR on-call pay codes

When using the general on-call pay code (OC) in myURHR UKG, please make sure to enter units, not hours, in the Amount column. This is similar practice to what happened in HRMS. When selecting the type of on-call (e.g., short or long), input “1” unit to indicate the staff member was on-call for that day/row, rather than the number of hours they were on-call.

When using special on-call pay codes (OS) in myURHR UKG, please make sure to enter hours in the Amount column. This is similar practice to what happened in HRMS.

Manage Timecards vs My Timecard tiles

In myURHR UKG, the “Manage Timecards” tile and the “My Timecard” tile offer different views.

The Manage Timecards tile allows the manager/timekeeper to review and approve employee timecards, while the My Timecard tile is your own individual timecard. When reviewing and approving employee timecards, be sure to select the “Manage Timecards” tile, which contains a robust set of pay codes.

Recruiting requisition role assignments

Update for hiring managers and department coordinators who oversee recruitment activities

Recruiting role assignments are associated with requisitions and detail what tasks are allowed for each role. They are different from departmental security roles requested via the Authorization Request Application in Workday.

Department Recruiting Representative vs Interested Party:

Does your position require you to review and screen candidates who have applied to a posted job requisition? If yes, you will need to be assigned the department recruiting representative security role on the requisition in Workday.

A Department Recruiting Rep is involved in the recruiting process and plays a role in reviewing candidates and moving them through the recruitment stages. They have specific responsibilities, such as reviewing candidate profiles and making decisions about whether to move candidates forward in the process or disposition candidates if they do not qualify. For example, Department Recruiting Reps can:

  • Review applications
  • Schedule and conduct interviews
  • Perform reference checks
  • Initiate offers

An Interested Party, on the other hand, is someone who is assigned to be informed about the recruitment process but does not have the same level of involvement as a Department Recruiting Representative. Think of the interested party role as “need to know” and individuals are kept in the loop regarding progress. Interested parties:

  • Can provide candidate feedback at the interview stage
  • Can’t complete all of the interview stage tasks such as scheduling interviews or advancing to reference or offer stage

Action: If you or a member of your team requires the Department Recruiting Representative role on an existing requisition, please reach out to your HR Business Partner.

For new requisitions, when initiating the Create Job Requisition process, use the “Justification” text box to include staff and their role assignment.
