PTO balances in UKG

The Daily Available Balance in myURHR UKG displays the total balance of leave hours for the date selected. It may show a number greater than 56 PTO hours if the employee’s overall leave hours are more than their actual useable balance. For example:

  • A part-time employee who is not eligible for the annual PTO payout may carry over accrued time. The Daily Available Balance in UKG would include PTO hours, plus the time carried over.
  • An employee transferring to a PTO-eligible position from another non-exempt benefits-eligible position may carry over sick leave. The Daily Available Balance in UKG would include sick hours, plus the PTO bank of 56 hours.

Reference the University’s PTO Policy (section II. E. 4 & 9) for more information as well as the view accrual balances quick reference card.

IMPORTANT: Managers, supervisors, and PTO-eligible employees need to remember that staff can only use a total of 56 PTO hours within the year.

New Office Hours Sessions

The myURHR support team is extending Office Hours for Workday and UKG. The new sessions, which begin this week, feature familiar topics like timekeeping and new themes including Payroll Detail Reporting. Staff are encouraged to attend Office Hours via Zoom during the designated timeframes to ask questions. Look for session descriptions, dates, times, and links on the myURHR support page. Additional sessions will be added to the February calendar as they are finalized.

Ask Mel Updates

The myURHR Ask Mel chatbot is constantly improving. Did you know the chatbot regularly offers new answers and resources? This includes FAQs and Roundup stories to keep content fresh and current. Be sure to interact with Ask Mel on a consistent basis for the most up-to-date information.

Tip: For better search results, enter keywords used in myURHR such as “change job” or “find payslip”, and remember to connect via the University network or VPN to chat with Ask Mel.

Accessing 2024 W-2s

2024 W-2 forms are available electronically. If faculty and staff ask where to find their W-2, please direct them to HRMS. The HRMS link is located at the top of the myURHR landing page as limited self-service activities, including viewing and printing W-2s, will continue through April 30, 2025 in HRMS.

(Note: W-2s were mailed to staff who preferred to receive a paper copy.) If you would like to save any other information from HRMS, including past payslips and Total Rewards statements, please do so prior to April 30.

Additionally, 2024 Fellowship and Scholarship letters are available in HRMS.
