Employee Experience Survey 2025

The 2025 Employee Experience Survey provides a key opportunity to hear from voices in every corner of our University community, including academic units, the medical center, central administration, LLE, and the MAG. Launching on Monday, October 6, with a new survey platform, we’re laying the groundwork for meaningful change. Key learnings from the survey will help shape action plans to improve the work environment, guide long-term culture strategies, and support organizational performance and growth, which supports Goal 4 (Faculty and Staff Success) of our Strategic Plan.

Who can participate

Eligible employees include active, regular full-time and part-time faculty, staff, residents, fellows, and postdoctoral appointees who have been employed by the University of Rochester for at least 30 days. TARs who worked an average of 20 hours per week will also be included. Employees on leave and student workers are not included.

Taking the survey

Eligible survey participants will receive a unique link on Monday, October 6 from EmployeeExperienceSurvey@notices.Rochester.edu.

A direct link and QR code will also be available. When using the QR code, you will receive a security prompt to enter your single sign-on (SSO) Active Directory credentials. Access the survey using any mobile, tablet, or desktop device. For hourly staff members, please take the survey during your regularly scheduled hours. Managers can help you schedule time.

Employee Experience Survey responses will be aggregated, and departments must have at least five responses to receive composite results. Employee IDs are provided to the survey company to ensure that individuals only respond once and to pick prize winners – results are not tied to individual employees – only aggregate results are sent to the University.

Prizes

To encourage survey participation, the University is excited to offer four prize drawings. Complete the survey by 11:59 p.m. the day before the drawing to become eligible and automatically entered for a chance to win. The sooner you complete the survey, the more chances you will have to win a prize. Drawings will be held on:

Why is the University of Rochester conducting an Employee Experience Survey?

The University of Rochester values your experience, expertise, and dedication. Faculty and staff success is a key goal of the University’s Boundless Possibility strategic plan. Your feedback helps to inform important change and improvement plans that create a workplace where everyone feels supported, inspired, and empowered to do their best work.

What topics will the 2025 Employee Experience Survey measure?

The survey will measure topics that capture many aspects of the employee experience and drive engagement. These include collaboration, communication, organizational alignment, wellbeing, recognition, inclusion, trust, and more. Participants will also have the chance to share open-ended feedback.

When is the survey open?

The survey is open from Monday, October 6 through Monday, October 20.

How long will it take to complete?

It takes approximately 15 minutes for most participants. An additional five to seven minutes may be required for individuals completing Magnet designation (recognition of Nursing excellence) related questions.

How do I access the survey?

Access the survey via a unique link sent to you by email on October 6 from EmployeeExperienceSurvey@notices.Rochester.edu. You can also access it using a QR code with single sign-on using your Active Directory credentials. For hourly staff members, please take the survey during your regularly scheduled hours; managers can help schedule time.

Is participation mandatory?

Survey participation is optional, but we encourage you to share your thoughts through this confidential tool. By sharing your perspective, you play a key role in shaping the future of our organization.

How does the 2025 survey differ from the 2022 Press Ganey survey?

For the first time, the 2025 survey will reach employees in all departments and divisions across the University of Rochester. Eligible employees include active, regular full-time and part-time faculty, staff, residents, fellows, and postdoctoral appointees who have been employed by the University of Rochester as of September 6, 2025. TARs who worked an average of 20 hours per week will also be included. Employees on leave and student workers are not included. The expanded survey and results will allow for relevant benchmarking internally, as well as with higher education, healthcare, and research peer groups. The new platform also provides a user-friendly experience for those taking the survey and provides additional resources to support teams through action planning.

What prizes are offered?

Prizes include iPads, Beats headphones, University of Rochester apparel, and gift cards.

During the survey window, respondents are automatically entered into random prize drawings. Employees who win a prize are excluded from future drawings for this survey period.

Can I pause and resume the survey?

Yes, your progress will automatically save if you need to exit and return any time prior to the survey close date on October 20, 2025.

Can I share my link with someone else?

No. Each employee receives a unique link that can only be used once so responses are attributed to the correct team. You should not share the email or this link with anyone else.

Who does "manager" or "senior leader” refer to in the survey?

A glossary of terms will be provided at the beginning of the survey to clarify roles. It will also be available on the Employee Experience Survey webpage when it launches the week of September 15.

I don't have computer access. How can I take the survey?

Access the survey using any mobile, tablet, or desktop device. Contact your manager for timing, coverage, or computer access, if needed. We will work with department leaders of staff who don’t typically have computer access.

Should I complete the survey during work hours?

Hourly staff must complete the survey during work hours. Your manager can guide you on timing, coverage, and computer access. Any overtime must be approved by your manager in advance.

Confidentiality

How is my confidentiality protected?

Responses are confidential. An outside consulting firm conducts the survey, and individual responses will not be shared to ensure confidentiality. Responses will be aggregated, and departments must have at least five responses to receive composite results. Near the end of the survey, you can also provide comments, which will be shared in summary without identifiable information.

Can my manager see how I responded?

No, managers can’t see individual responses. The survey is conducted by an outside consulting firm and individual responses will not be shared to ensure confidentiality. Responses will be aggregated, and departments must have at least five responses to receive composite results.

Why do I need to enter my employee ID?

Your ID allows the survey administrator to attribute your responses to your team, ensuring that feedback leads to effective summaries of the data and action planning.

Why is the survey only open to employees hired on or before September 6, 2025?

New hire experiences are distinct and will be sought out separately. This survey focuses on the overall employee experience.

Who is eligible to complete the survey?

We designed the survey to collect feedback from employees with an on-going and consistent role in our University community. Eligible employees include active, regular full-time and part-time faculty, staff, residents, fellows, and postdoctoral appointees who have been employed by the University of Rochester for at least 30 days. TARs who worked an average of 20 hours per week will also be included. Employees on leave and student workers are not included. All employees will be included in the team action planning process that follows the survey.

Survey results and action planning

Will employees see their team's results?

Managers will facilitate conversations to review team results, highlight strengths, and identify opportunities for improvement during the action planning process. The action planning process is scheduled to begin in January and extends into March.

How will the results be used?

At the organizational level, leadership will use the data to shape strategic initiatives and drive improvement across communication, culture, and operations.

At the team level, managers and employees will work together to identify priority areas and develop action plans that also drive change across areas of departmental communication, culture, operations, and leadership.

What role will employees play in action planning?

Employees will participate in discussions led by their managers, offering important input on the results and brainstorming improvement strategies.

Will managers share their action plan with employees?

Yes, not only will managers share the action plans, but employees will be invited to participate in the planning. Updates on progress will be an important part of the process.
