Another payroll deadline is quickly approaching. Below are key actions and a newly-added Office Hours session for timekeepers and managers to help you adhere to the first payroll deadline for semimonthly timecards in myURHR UKG.

New Office Hours for timekeepers and managers:

Thursday, January 9, 2025, 8:30 a.m.–10:00 a.m.
Ask questions, get a little extra guidance, and learn a few tips from the myURHR UKG team.

Key actions by 3 p.m. Thursday for semimonthly timecards:

Be sure to give yourself enough time ahead of the payroll deadline to review and approve timecards.

Respond to and/or edit time off requests

Especially those entered for the January 1—15 semimonthly pay cycle.

Reminder: Timekeepers now have access to everyone in their department family, which means you could see requests in UKG from staff beyond those you are responsible for. Please be careful to approve requests for only your team members.

Hyperfinds are a particularly useful tool for filtering in UKG, such as a list of your team members. You can use existing hyperfinds including “My Reports to Employees” or create your own.

Enter pay codes as necessary

Add or edit appropriate pay codes

Review and approve all semimonthly timecards

Approve timecards

Reminder: Whenever a timekeeper/manager approves a timecard during the current in-process pay period, it becomes locked and no employee direct edits are allowed unless the approval is removed. If an employee needs to edit their time after an approval has occurred, the individual who approved the timecard must undo that approval by selecting “Remove Approval” for the timecard to be further edited. Timecards should be reviewed and edited as needed throughout the pay period and then the approval button selected when ready for final confirmation before the deadline.

If you need to make changes to an already approved timecard within the current pay period and are unsure who approved it, go to the audit tab in UKG and follow these instructions, so you can contact the individual to remove the approval.

Biweekly payroll reminder:

The next biweekly payroll deadline is Monday, January 13 at 3 p.m. In preparation, timekeepers and managers should begin reviewing employee timecard edits and responding to time off requests this week to stay ahead of the Monday 3 p.m. deadline.

Accrual balances on payslips

Previously in HRMS, payslips showed the accrual balance as of last day of the pay period plus your next accrual. In myURHR Workday, payslips will only show the balance as of the end of the pay period being paid and does not include the next pay period’s accrual. New: 800 forms for 2024 reallocations now available in HRMS through March 31, 2025

Payroll Accounting Adjustments (PAAs) are corrections to payroll distributions for pay periods previously posted. PAAs for payroll that was processed in HRMS will now continue via an 800 form process through March 31, 2025. This process will only be acceptable for payrolls processed in HRMS from 1/1/24 through 12/31/24.

The Payroll Accounting Adjustment process in myURHR Workday will need to be utilized for corrections to payroll distributions for payrolls completed in myURHR (pay dates after 1/1/25). If you need to create a PAA, be sure to also process a Payroll Costing Allocation (PCA) to account for future payrolls. For more information, please refer to the PAA webpage.
