Paid Family Leave (PFL)

Paid Family Leave (PFL) lets eligible New York State employees take paid time off for qualifying reasons, including:

  • Bond with a child during the first 12 months following the birth, adopted, or foster placement of the child
  • Care for a family member with a serious health condition (spouse/domestic partner, child, parent (in-laws and step), grandparent, siblings, and grandchild and in loco parentis relationships
  • Assist a family member called to active military service (spouse/domestic partner, child, parent)

How to apply for Paid Family Leave

University of Rochester employees looking to open a PFL claim must call Hartford, our PFL insurance carrier, at (866) 548-3101. Hartford will then explain the process and provide an acknowledgment letter, along with any applicable certification forms.

An employee is responsible for notifying the University that they intend to apply for PFL benefits. Leave Administration will provide AWW’s and ADW via a weekly file to the Hartford. For any type of foreseeable PFL, an employee must provide at least 30 days’ notice. Otherwise, the employee must give notice as soon as possible.

Supplemental Pay Leave Request

Effective December 15, 2024, in myURHR UKG employees leave for Short-term Disability (STD), Workers Compensation (WC), or Paid Family Leave (PFL) per New York State requirements will need to request in writing to use any accrued time to supplement their leave where full pay is not offered.

Additionally, a new automated accruals payments process will determine the order in which accruals for time will be paid.

Accruals for paid time to supplement PFL will be paid in the following order when requested via an opt-in form by employees:

  1. Vacation
  2. Paid Time Off or Sick

Return to work

Report a return to work from Paid Family Leave–Continuous Leave

A continuous PFL leave is any leave lasting 10 or more consecutive days. Upon returning to work, employees should:

  1. Notify their department of their return date to ensure accurate timekeeping.
  2. Confirm with Hartford that their leave has ended to avoid unnecessary deductions or coding errors.
  3. Ensure their manager or timekeeper completes the Return to Work from Leaves Form to document their return.
